In QuickBooks, taxes post to the specific accounts set up in your payroll accounting preferences. If Social Security and Medicare are showing under your federal withholding line, it’s because the system is set to group all federal liabilities into one account.
To separate these taxes for future payroll runs, you can update your settings with these steps:
- Click the Gear icon and select Payroll settings.
- Scroll to the Accounting section and click the Pencil icon.
- Look for the Tax liability accounts section.
- Update the mapping for Social Security and Medicare so they are no longer assigned to the same account as federal income tax.
- Click Continue and then Done.
Updating these preferences ensures your reports show a clear breakdown of what you owe for each tax type. This makes it much easier to reconcile your quarterly 941 filings and keep your books audit-ready.
