Use Playbooks in Intuit Accountant Suite

Playbooks let you standardize client onboarding and service delivery. Build a reusable template once — covering chart of accounts, policies, company settings, and service workflows — then apply it to any client in a couple of selects.

Instead of setting up every client's books the same way by hand, build a playbook once for an industry or service level and reuse it across your client list. This article covers how to create a playbook, apply it to clients, and manage your playbooks over time.

Note Playbooks is a beta feature available only to firms on Intuit Accountant Suite Accelerate. If your firm is on Intuit Accountant Suite Core, you'll see Playbooks with a page inviting you to upgrade — upgrade to Accelerate to unlock the feature. Only Primary Admins and Company Admins can create, apply, and view playbooks. To use books close templates in a playbook, your firm also needs the Books Close add-on. Each client can be on only one playbook, and a playbook supports up to 1,000 clients. Clients must be using a QuickBooks product (for example, QuickBooks Online).

Create a playbook

Build a playbook once, then reuse it for every client that fits the same industry or service level. Each playbook is organized into sections:

  • Overview – the playbook's name and an optional description.

  • Client environment – chart of accounts (adds new accounts only), accounting policies, and company settings (some settings from the Advanced tab).

  • Service delivery – Books Close template.

  • Firm settings – default access (user groups), client access, and client custom fields.

  1. Go to Firm hub, then select Playbooks.

  2. Select Create to open the New Playbook modal. For now, you can only start from a blank playbook.

  3. Enter a name and description for your playbook.

  4. Update the elements you want in your playbook, then choose each template to build it out.

  5. Select Save on each section as you work. When you're ready to make the playbook available to clients, select Next.

Result: Your playbook is ready to publish to clients. You can publish it and apply it to clients in the same flow, or apply it separately later.

Apply a playbook to a client

Once a playbook is published, you can apply it to clients in any of these ways:

  • While publishing: when you select Next in the playbook builder, choose the clients you want to apply the playbook to.

  • From the Playbooks page: select the client count on the playbook, then add clients.

  • From the client list: assign a playbook as part of the Add Client flow.

Result: The playbook's settings and templates are applied to each selected client, and the client counts toward that playbook on the Playbooks page.

Manage your playbooks

Use the Playbooks page as your library for every playbook your firm has created.

  1. Go to Firm hub, then select Playbooks.

  2. Review the list of your draft and published playbooks, their descriptions, and the number of assigned clients.

  3. Select a playbook to open it. From there, you can make changes to its templates, or add or remove clients.

Here's what happens when you make changes:

  • When you edit a published playbook, your changes are saved to the playbook but don't affect the clients currently on it until you publish the updates. Publishing pushes the changes to every client on the playbook.

  • If you remove a client from a playbook, the configuration already applied stays on their books, but they won't receive future playbook updates.

Troubleshoot playbook issues

If something doesn't look right, try these fixes first.

Why can't I use Playbooks?

Playbooks is available only to firms on Intuit Accountant Suite Accelerate. If your firm is on Intuit Accountant Suite Core, you'll see Playbooks with a page inviting you to upgrade. Also check your role: only Primary Admins and Company Admins can see and use Playbooks in this release.

Why do I see a "data failed to load" error?

If the system can't load the required data, refresh the page or check that the information you entered is valid, then try again.
