Match your bank and credit card transactions

Learn how to match your bank and credit card transactions in QuickBooks Online.

When you connect your bank or credit card to QuickBooks, your bank sends over your transactions. They appear in the For review tab, but they won't affect your books until you match or categorize them.

Matching links your bank transactions to records you already created in QuickBooks, like invoices, receipts, and bills. This process keeps your books accurate and prevents duplicate entries.

Match versus Categorize

When you review a transaction, you have two main options:

  • Match it: Choose this option if you already entered a record for the transaction in QuickBooks.

  • Categorize it: Choose this option if you don't have an existing record. This creates a brand-new record in QuickBooks.

You can also exclude a transaction if you don't want it in your books.

Records that can be matched

You can match downloaded bank transactions to many existing records, including:

  • Invoices and bills

  • Paychecks and tax payments

  • Checks and receipts

  • Bank transfers

  • Credit card payments and refunds

When you match a transaction to a bill or invoice, QuickBooks automatically marks it as paid. Always verify that you actually sent or received the payment before you complete the match. Refer to: Automatically match QuickBooks Online product transactions

Match suggested transactions

QuickBooks automatically suggests matches for transactions with the same amount within a specific date range (90 days before to 20 days after the transaction date).

  1. Select All apps, Accounting, then Bank transactions.

  2. Review the Categorize or Match column to find a suggested match.

  3. Select the transaction row or select the sparkle A green sign with a black arrow pointing to the right. icon to expand details.

  4. Review the transaction info to make sure it's correct.

  5. Select Post once you verify the match.

If the suggestion isn't correct, select Find other match to search for the right record.

Match bank transfers and credit card payments

Follow these steps to match transfers between your accounts:

  1. Select All apps, Accounting, then Bank transactions.

  2. Find the transfer in the Categorize or Match column.

  3. Expand the row by selecting the transaction or the sparkle A green sign with a black arrow pointing to the right. icon.

  4. Select the right category from the Category dropdown menu.

  5. Select Post to save your match.

Why you might not have a match suggestion

QuickBooks won't suggest a match if:

  • Bank fees or discounts change the total amount.

  • You deposited multiple payments together as a single group.

  • The record falls outside the date range (more than 90 days before or 20 days after).

  • You already reconciled the record. In this case, exclude the transaction so it doesn't create a duplicate.

Review or undo a match

If you make a mistake, you can change or undo a match.

  1. From Transactions, select the Posted tab.

  2. Select the account you want to review.

  3. Find the transaction, then select Undo.

  4. QuickBooks moves the transaction back to the Pending (or For review) tab so you can fix it.

Be sure to fix all matches before you complete your monthly account reconciliations.
