Confirm suggested matches for bank transactions in QuickBooks Online

Confirm transactions with suggested matches

In most cases, QuickBooks suggests matches for you to approve that:

  1. Are exactly the same dollar amount as the transaction.
  2. Occur on the same date as, or within 90 days before and 20 days after the transaction date.

Tip: If you don’t see any suggested matches or none of them are correct, you’ll need to select Find other matches and match manually.

Here’s how to find and approve any suggested matches:

  1. Go toTransactions, then select Bank transactions (Take me there).
  2. (Optional) Filter by Suggested matches to narrow the transaction grid.
  3. Find a transaction with a suggested match. If you're in:
    • Business view: look for “(#) matches found” in the Assign to column.
    • Accountant view: look for “(#) matches found” in the Category or match column.
  4. Select the transaction to expand the view.
  5. Review the Suggested matches for any possible matching transactions already entered in QuickBooks.
  6. Select the link next to each match to get more details. Make sure that the match is correct.
  7. Select a match if it's correct, then select Match.

The transaction and the suggested matching record are now matched. QuickBooks will move the transaction into the Categorized tab.

Suggested matches only include transactions that are of the same dollar amount and occur within a similar date range as the bank transaction.

You won’t see any suggested matches if:

  • The matching record has a different dollar amount, possibly due to fees or discounts.
  • You need to match to multiple records like multiple customer payments deposited as a group.
  • The matching record occurred over 90 days before, or over 20 days after the transaction date.
  • The matching record has been reconciled. In this case, you should Exclude the transaction because it can't be matched.

Match bank transfers and credit card payments

QuickBooks automatically identifies transfers between two of your connected bank accounts, and credit card accounts, by looking at corresponding amounts and dates.

For example, if QuickBooks sees money leaving one bank account, and the same amount entering another bank account at around the same time, it'll suggest a match that you can confirm or undo. If confirmed, QuickBooks will add the transaction to your books and move it to the Categorized tab.

  1. Go to Transactions, then select Bank transactions (Take me there).
  2. To find a transfer to match, look for Paired to another transaction.
    If you're in:
    • Business view, look in the Assigned to column.
    • Accountant view, look in the Category or matched column.
  3. Select the transaction to expand the view. 
  4. Make sure the suggested paired transaction is the correct match.
  5. Select Confirm to finish matching.

Review or undo matches

After you match transactions with existing records, you can review the match details in the Categorized tab.

  1. Go to Transactions, then select Bank transactions (Take me there).
  2. Select the tile for the account you want to review.
  3. Go to the Categorized tab.
  4. If you're in:
    • Business view: select a transaction that says Matched to or Added to in the Assigned to column to review it.
    • Accountant view: select a transaction that says Matched to or Added to in the Added or matched column to review it.
  5. Select Undo if you need to make changes. The transaction is sent back to the For review tab.
