Learn how to access the view-only mode if your subscription expires or if you decide to cancel your subscription.
View-only access remains for 1 year after your subscription ends. During that time, you won’t be able to edit your data with your inactive license. But, you can renew your subscription or export your data. To view your data after 1 year, you’ll have to renew your subscription.
Note: As a QuickBooks Desktop user, you still own your data, regardless of subscription status. You can open and edit company files at any time with a compatible license or active subscription.
Renew your QuickBooks Desktop subscription
If you want greater efficiency and real-time business insights, make a switch to QuickBooks Online.
If you prefer to renew your QuickBooks Desktop subscription, call (800) 591-0302.
Important: If you’re on QuickBooks Desktop 2023 R1 or QuickBooks for Mac 2023, you’ll need to update to the latest QuickBooks Desktop release or QuickBooks for Mac 2024 before canceling your subscription. Find out more about how to check if you have the latest release and how to update.
Use QuickBooks Desktop in View-only Mode
View-only mode is available in:
- QuickBooks Desktop for Windows 2023 R3 and newer
- QuickBooks for Mac Plus 2024 and newer
You can view reports, but can’t create any transactions. We recommend you export your data before you cancel your subscription.
Other restrictions while you work in View-only mode:
- You won’t be able to access 3rd party apps.
- Only company file admins can access view-only mode.
- View-only access is currently only available for Pro Plus, Premier Plus and Enterprise. Note: QuickBooks Point of Sales and QuickBooks Desktop Mac Plus don’t have view-only access.
- View-only mode might not work in multi-user mode. To access your data, switch to single user mode before you cancel your subscription.
- If you’re on Intuit Cloud Access/Hosting with Rightworks, view-only mode won’t work.
- This applies only to QuickBooks Desktop licenses already installed on your computer. View-only mode won’t work in case of reinstallation.
