Manage file reviews in Books Close

Learn how to manage monthly closes from the file review page in Books Close. From this central location, you can select specific clients and close periods, assign team members to tasks, manage due dates, and track completion progress.

In this video, we'll walk through the File Review workflow, where you open a close, move through each section, manage due dates, assignments, and status, and see how your customizations carry forward to future closes for that client.

Prerequisites

To access and manage file reviews, your firm must have added Books Close to Intuit Accountant Suite Core or Accelerate.

Access file reviews

  1. From Intuit Accountant Suite, select All apps and choose Books close.
  2. Scroll to the line for the client and close period you want to access, and select Open from the Action column. 
  3. Once you open a client's close period, you will see a file review page with several specialized sections:
    • Pre-close - Items that need to be completed before reviewing the books, such as confirming client information or preparing documentation. You can customize this list to add any task that matches your firm’s needs. Select Add task to include additional steps specific to that client.
    • Account reconciliation - Bank and credit card accounts that need to be reconciled for the period. Select View/Reconcile to complete a reconciliation and return to the workflow when finished.
    • Transaction review -  Lists transaction checks that highlight items needing attention, such as uncategorized transactions or transactions over a set threshold
    • Payee/Entity review - Checks for items like new vendors, new customers, and newly added accounts during the period. It also includes W-9 and 1099 management.
    • Final review - Access to key financial reports for the selected period, including the Profit and Loss and Balance Sheet.
    • Additional items - Customizable list of firm-specific tasks or notes that are part of your close process. Existing tasks are recommended defaults, but you can select Add task to include additional items as needed.
    • Send financials - Opens Management Reports in QuickBooks so financials can be reviewed or shared.

Manage close details and tasks

Once you’ve accessed the file review page, you can adjust details related to the specific close and its various components.

Manage high-level close details

Manage the following details that apply to the full close at the top of the page.

  • Select the Due Date to update the close due date.
  • Use the Status dropdown to move the close from To do to another status as work progresses.
  • Select each Close Assignee to assign or update the assignee for that close. You’ll have the option to reassign all tasks assigned to that role at the same time.

Manage individual task details

Select each section to access and manage tasks individually.

  • Select the Image Alt Text calendar to update the due date.
  • Select Assignee to change who is responsible.
  • Select Status to mark the task as complete or update its progress.
