Change direct deposit PIN in QuickBooks Desktop Payroll

Learn how to change a PIN for processing direct deposit in QuickBooks Payroll.

Personal Identification Number (PIN) is your company's password for your Payroll Service. If you need to change your PIN for security reasons, you can do so.

Here are the two ways on how to change a direct deposit PIN. 

  • Method 1: Change your PIN in the Send Payroll Data window
  • Method 2: Change your PIN in Payroll Account Maintenance Pages

Method 1: Change your PIN in the Send Payroll Data window

Use this method to reset your payroll service PIN only, if you know the Admin password to your QuickBooks company file. Otherwise use the second method. The new PIN must be 8–12 characters and include at least one letter and one number. Special characters aren’t allowed.

  1. Login to your QuickBooks company file as Admin.
  2. Go to Employees, then select Send Payroll Data.
  3. In the Send/Receive Payroll Data window, select Send.
  4. In the Payroll Service PIN window, select Forgot your PIN?
  5. Enter your QuickBooks company file Admin password.
  6. Select OK.
  7. Create a new PIN and confirm it. 
  8. Select Submit.

Method 2: Change your PIN in Payroll Account Maintenance Pages

When you change your payroll service PIN in Account Maintenance Pages, make sure you know your current PIN. The system requires you to enter your current (or old) PIN to create a new one. The new PIN must be 8–12 characters and include at least one letter and one number. Special characters aren’t allowed.

  1. Go to Employees, then My Payroll Service.
  2. Select Account/Billing Information.
  3. Sign in using your Intuit Account login.
  4. Select the Payroll Details section. Under Payroll service PIN, select Update PIN.
  5. Enter your old PIN. Create a new one and confirm it.
  6. Select Submit.
  1. Go to Employees, then My Payroll Service.
  2. Select Billing/Bank Information.
  3. Under Service Information, select Change next to My PIN.
  4. Enter your old PIN. Create a new one and confirm it.
  5. Select Submit.

Method 3: Change your PIN in the Send Payroll Data window

If you can’t remember your PIN or are unable to change it in QuickBooks, follow these steps:

  1. Download and complete the Direct Deposit PIN reset form. 
  2. Have the Primary Principal or Secondary Principal sign the form.
  3. Get a photocopy of the primary or secondary principal's government-issued ID.
  4. Contact QuickBooks Desktop payroll support to submit the form, and ID via Intuit File Exchange.
  5. Once you receive an email from Intuit Payroll about the status of your request, contact us so we can generate a PIN for you.
