You no longer have employees in certain state and need to close your State Account ID

SOLVEDby QuickBooksQuickBooks Desktop Payroll13Updated 1 year ago

You want Assisted Payroll to stop filing returns in certain states because you no longer have employees in these states.

Expected Outcome

You will be able to cancel your state account ID and notify Intuit to stop filing zero returns.

You no longer process payroll in certain states and would like to close your Account ID with the state agency.

Assisted Payroll Service will file returns in any states you have set up, as long as there are reported wages for the states or the payroll items for those states have appeared on paychecks. We will continue to file zero returns, even if you no longer have wages in that state, until we are notified that the account has been closed or canceled.

If you do not have employees in certain states but still have an account open with that state agency, Intuit will file zero (0) returns until we receive a notification from you that your account ID with that state agency had been closed or canceled.

To cancel your state agency account, you will have to call the state agency and request a confirmation letter or documentation. These confirmation letters vary from state to state. You will need to confirm with state agency as to what type of confirmation you will be receiving.

Once you receive your confirmation letter that your account had been canceled or closed, email a copy to Intuit Tax Department at Once we receive the copy, Intuit will discontinue filing in that state.

Some states require that the returns be marked as Final Return before they will cancel the state ID. In these cases, email your Confirmation Letter along with a separate letter stating that the return needs to be marked as Final.
