Get started with the Project Management Agent

The Project Management Agent helps you set up new projects faster and uses company and industry data to suggest profit margin goals. It assists with tasks like building estimates, converting estimates to budgets, populating project details, tracking changes, and monitoring project execution to help ensure the best results.

Key Features and Functions

Project Setup Assistance

• Faster Project Start: The agent helps you set up new projects more quickly. When starting a new project, the agent panel appears next to the project details. You can use this panel to ask questions.
• File Upload: Upload external files like contracts, estimates, and proposals directly within the agent panel using drag and drop or the upload function. The agent populates project details, including project name, customer info, start/end dates, and other fields, by extracting info from approved estimates and uploaded documents.
• Phase Support: If uploaded documents contain phases, the agent automatically populates these phase details into the project.
• Contract Integration: The agent can create new projects automatically once contracts are signed in Customer Hub. You don't have to wait for contracts to finish uploading to perform other tasks. Select close and notify later to receive a notification when details are added
• Project Review: You can review the auto-populated project details and make necessary changes before saving.

Estimates and Budgets

• Build Estimates: Create estimates using your own contracts, external PDF estimates, spreadsheets, and budgets. Upload files via the agent panel. After creating a project estimate, the agent offers the option to convert the saved estimate into a project budget, carrying over all items and phases.
• Item Identification: The agent identifies products/services in uploaded documents that don't have an exact match in your system. It provides suggestions or recommends creating a new item.
• Spreadsheet Upload for Budgets (Intuit Enterprise Suite only): Upload spreadsheets to populate the project budget.

Real-time Tracking and Suggestions

• Corrective Actions: The agent suggests corrective actions in real time to help maintain optimal project outcomes. Also use the agent to monitor changes within your project.
• Deviation Analysis: The agent provides auto-generated key factors explaining deviations between estimates and actuals for both costs and income.
• Dismiss Suggestions: You have the ability to dismiss any suggestions made by the agent. You always have the final say.

Execution & Monitoring (Intuit Enterprise Suite only)

• Goal Setting: Set goals to track project profitability, income, and expenses. The agent scans project progress and reports back to you. Receive recommended actions to help you stay on track with project goals.
• Profitability Recommendations: Receive recommendations for profit targets based on historical project profitability and peer benchmark data. Your agent uses company and industry data to determine the best profit margin goal.
• Planning Assistance: The agent populates projects with tasks, assigned task owners, recommended deadlines, and priorities based on documents uploaded via the agent panel.
• Task Review: You have the option to save the project and review tasks, allowing delegation and adjustments within your team.
• Improved Insights: Get a snapshot of project profitability (overall vs. week-over-week changes), total cost, and total income. Key factors like scope changes or increased item costs are highlighted. The agent allocates costs to projects based on historical data. You can examine and adjust these allocations.

Project Closing (Intuit Enterprise Suite only)

• Generate Summary: The agent generates a closing summary with insights on project performance and profitability. Mark your project status as Completed and select Review to generate the summary.
• Share Report: You can share the generated management report.
