Learn how Amazon works with QuickBooks Commerce

Learn what happens when Amazon products sync with QuickBooks Commerce.

QuickBooks Commerce is no longer available for purchase as a stand-alone product.
The features referred to in this article are only relevant for customers who still have QuickBooks Commerce bundled with their QuickBooks Online subscription.

When you connect Amazon with QuickBooks Commerce, prices, stock levels, and orders sync automatically. Here’s how your Amazon products sync with QuickBooks Commerce.

Note: QuickBooks Commerce stores Personally Identifiable Information (PII) for 30 days only after you import orders from Amazon. If you want to keep a copy of your customers and orders, you can export them.

Understand how Amazon products sync to QuickBooks Commerce

Here's a preview of what happens when you sync Amazon and QuickBooks Commerce.

Sync detailsWhat happens
ProductsImportant: Only changes made in QuickBooks updates to Amazon. After you import Merchant fulfilled Network (MFN) and/or Fulfilled by Amazon (FBA) products, make changes only in QuickBooks.

Update product prices
When you change the products’ prices in QuickBooks, they also change in Amazon for both MFN and FBA products.

Adjust stock levels
Stock level adjustments in QuickBooks sync updates in Amazon for MFN products only.

Create products
QuickBooks doesn’t create products in Amazon. When you publish a product in Amazon, QuickBooks matches it by SKU and creates its own link.
OrdersPending Orders
Pending orders from Amazon MFN and FBA imports in QuickBooks as active orders. The prices of the items are incorrect until the payment in Amazon is successful.

Once paid, the order updates in Amazon, then the status of the order in QuickBooks updates to Finalized with the correct prices. 

Fulfillments
QuickBooks checks for order updates in Amazon every 10 minutes. If there’s an order in Amazon that updates to “Shipped”, it also updates in QuickBooks as “Fulfilled”.

Returns
Returns don’t automatically sync to QuickBooks for MFN and FBA orders. You need to create and manage returns in QuickBooks manually.

You can also create a stock adjustment in QuickBooks to account for the returned stock.

Keep selling past zero
QuickBooks doesn’t sync the keep selling past zero feature from Amazon. When your stock levels hit 0, your products display in Amazon as “Out of Stock”.

Review Personally Identifiable Information (PII) from Amazon

To protect your business and customers’ sensitive info from breaches or misuse, Amazon has a Data Protection Policy. QuickBooks Commerce stores Personally Identifiable Information (PII) from Amazon for up to 30 days. After 30 days, QuickBooks blurs out all PII from Amazon, and you can no longer edit them.

Personally Identifiable Information (PII) details include the following:
• Names
• Addresses
• Telephone numbers
• Email addresses

What happens in QuickBooks Commerce

An alert about the blurring out of PII details appears on the index page of sales orders, invoices, fulfillments, and relationships.

Once PII details are blurred out, another alert appears. PII details won’t be visible in other parts of the app anymore (in sales orders, invoices, and customer reports).

Export your customers’ info

Here’s how you can keep a copy of your Amazon customers and orders. You can also access PII data on the Amazon Seller Central

Important: Export all the necessary data before it gets blurred out. Data won’t be recoverable after the 30-day period.

  1. Go to Relationships, then select Companies.
  2. From the Bulk Manage dropdown, select Export Relationships. This generates an excel file containing your customer info.
  3. Select Download File.
  4. Open and save the file.
  1. Go to Intelligence, then select Reporting.
  2. Select the Customers ▼ dropdown, then select Sales by customer.
  3. From the ADD A FILTER ▼ dropdown, select Channel and is. Then, enter Amazon in the search field.
  4. Select Apply Filter.
  5. From the Manage Report ▼ dropdown, select Export.
  6. Select Download File.
  7. Open and save the file.

Tip: To send a copy of the file to your email, select the Email a copy to checkbox.
