Print a journal entry report in QuickBooks Online

Learn how to print a journal entry report in QuickBooks Online.

If you use journal entries to record transactions, you can generate and print a report with a single journal entry. You can also print multiple entries in one report. To print multiple journal entries, you'll need to customize the journal report.

Print a single journal entry

  1. Select the Search Magnifying glass search icon. icon, then select Go to transactions search.
  2. Select Journal Entries from the dropdown Dropdown arrow icon. near Search.
    Note: Apply additional filters as necessary.
  3. Select Search, then select the desired Journal Entry.
  4. Select More, then select Transaction journal.
  5. If your report has opened in:
    • Classic view: Select the Print Image Alt Text icon.
    • New enhanced experience: Select the Export/Print Dropdown arrow icon. dropdown, then select Print/Save as PDF.
      Note: You can modify the Report Print Settings before printing.
  6. Select Print.

Print multiple journal entries in one report

  1. Go to Reports (Take me there).
  2. Select Journal from the Find report by name Dropdown arrow icon. dropdown.
  3. Make the following customization.
    1. Select your preferred date range from the Date range Dropdown arrow icon. dropdown.
    2. Select Group, then select how you want to group your data from the Group by Dropdown arrow icon. dropdown.
    3. Select Filter.
      1. Select Transaction type from the Filter Dropdown arrow icon. dropdown.
      2. Select equals from the Operation Dropdown arrow icon. dropdown.
      3. Select Journal Entry from the Value Dropdown arrow icon. dropdown.
    4. Select General options, then you can modify the accounting method, reporting period, and number format if needed.
    5. Select Columns. From the Reorder tab, drag and drop to rearrange columns as necessary.
      1. Select the show/hide icon to hide Name.
      2. Select the show/hide icon to unhide Customer full name, Employee, or Vendor.
  4. Select Save As to save the current filters.
    Note: You can edit the journal report any time. Go to Reports (Take me there), then select Custom reports.
  5. Select the Export/Print Dropdown arrow icon. dropdown, then select Print/Save as PDF.
    Note: You can modify the Report Print Settings before printing.
  6. Select Print.
