When opening QuickBooks Desktop Point of Sale, you see the following error:

You have exceeded the maximum number of users who can access the company at one time

This error may be caused by one of the following:
  • More workstations are open than the number of licenses you have purchased.
  • A log file is stuck and your workstations need to be rebooted.
  • A file used to verify licenses is damaged.
  • The QuickBooks Desktop Point of Sale installation is damaged.
  • A firewall or third-party internet security is blocking your client workstation from the server.

Note: Follow the solutions according to the order shown below.

Solution 1: Verify the number of licensed users and sync license data online

  • From the Help menu, select Manage My License > Sync license data online, then click OK.
  • From the Help menu, select Manage My License > Buy Additional User License.
  • Verify the number of Licensed Users.

If the number of licensed users is less than expected, contact Intuit support through 800-348-0254. If it's correct, proceed to Solution 2.

Solution 2: Close all workstations

Close QuickBooks Desktop Point of Sale by clicking Exit from the File menu. Do NOT click X on the upper right.

If closing the program doesn't free up the licenses, reboot all workstations. This will prevent POS from thinking there are too many workstations open. If rebooting all workstations doesn't fix the issue, proceed to Solution 3.

Solution: Clear the contents of the Entitlement Data folder

  1. From your Point of Sale server, right-click the Windows Start button, then choose Open Windows Explorer.
  2. Click Organize, then select Folder and Search Options.
  3. Go to the View tab, select Show hidden files and folders, then clear the checkbox for Hide protected system operating files.
  4. Click Yes to the warning, then select OK.
  5. Navigate to the location: C:\Program Data\Intuit\Entitlement Client\XX (where XX is the highest number version you see)
  6. From your keyboard, press CTRL + A + Delete, then click Yes on the pop-up message. This lets you delete all the contents of the folder at once.
  7. Open QuickBooks Desktop Point of Sale and complete the registration process again.

If the error persists, proceed to Solution 4.

Solution 4: Rename the WSActivity file

  1. Go to C:\Program Data\Intuit\QuickBooks Point of Sale XX\Ini
  2. Right-click WSActivity, then select Rename.
  3. Enter OLDWSActivity, then click anywhere to save.
  4. Open QuickBooks Desktop Point of Sale.

If you still see the error, proceed to Solution 5.

Solution 5: Configure internet security and other third-party firewalls to allow access

  1. Firewall configuration for QuickBooks Point of Sale.
  2. Use QuickBooks Point of Sale Connectivity Tool which helps identify conflict in security and network setup.

Solution 6: Uninstall and Reinstall QuickBooks Desktop Point of Sale

  1. Reinstall QuickBooks Desktop Point of Sale on the server computer.
  2. Update QuickBooks Point of Sale to the latest release.
  3. From the Help menu, select Manage My License > Sync license data online, then click OK.
  4. From the Help menu, select Manage My License > Buy Additional User License.
  5. Verify the number of Licensed Users.

If you still don't have the correct number of licensed users, try to uninstall and reinstall QuickBooks Desktop Point of Sale on the client workstations.
