Learn how to enter bills in QuickBooks Online.
You can enter expenses you haven't paid yet as bills. You can record bills one at a time, or record multiple bills for multiple vendors at once. If you've already paid for a business expense, enter it as an expense.

Receive bills from another QuickBooks user
You can receive bills from another QuickBooks user over the QuickBooks Business Network. Accounts Payable Automation will recognize the vendor's details and inform you to review the bill from your Bills list.
Upload bills from your computer
- Go to Expenses, then Bills (Take me there).
- From the Add bill ▼ dropdown, select Upload from computer.
- Drag and drop files into the Upload window, or select the Upload button to choose files on your computer.
Note: QuickBooks supports PDF, JPEG, JPG, GIF, and PNG images.
Add a bill manually
- Select + New.then Bill.
- Go to Vendor and select a vendor.
- Go to Terms and select the bill's terms. This is when your vendor expects to be paid.
- Enter the Bill date, Due date, and Bill no. as they're recorded on the bill.
- Go to Category details and enter the applicable info.
- If you want to list specific products and services, go to Item details.
Tip: If you don’t see Item details, go to Settings ⚙, select Account and settings, then Expenses. Go to Bills and expenses, select the pencil ✎ icon, then turn on Show Items table on expense and purchase forms.
- Enter the Amount and tax.
- If you plan to bill a customer for the expense, select Billable and enter their name in the Customer field.
- When you're done, select Save and close.
Result
Once you’ve added your bills, you can go to Bills to review them. Bills you uploaded or were sent from another QuickBooks user are added to the For review tab. You can verify the info and schedule payment or pay later. Bills you’ve added manually are added to the Unpaid tab. Because you added the bill, you don’t need to review it.
