Many business customers pay their bills through an accounts payable (AP) platform instead of paying from the invoice email. QuickBooks Payments connects with Ramp and Bill, so your customers can pay your QuickBooks invoices by credit card or virtual card from the tool they already use. QuickBooks matches each payment to its invoice automatically.

Who can use it

  • Available on all QuickBooks Online plans.

  • You need a QuickBooks Payments account.

  • Your invoices must accept card payments.

The integration turns on automatically when these are in place. You don't need to set anything up.

How it works

  1. You send an invoice from QuickBooks Online with card payments turned on.

  2. Your customer uploads the invoice to their AP platform. The invoice details come through automatically, so they don't need to ask you for bank details or a mailing address.

  3. Your customer chooses how to pay in their AP platform. When they pay by credit card or virtual card, the payment is processed through QuickBooks Payments.

  4. QuickBooks records the payment against the invoice, updates its status, and deposits the funds to your account.

When you get paid

Card and virtual card payments made by 3:00 p.m. PT are deposited the same business day. Payments made after 3:00 p.m. PT are deposited the next business day.

Benefits for your business

Get paid faster

An ACH transfer typically takes 3 to 5 business days to complete after your customer sends it. When your customer pays by card or virtual card through their AP platform, you can get paid as soon as the same business day.

Spend less time reconciling

Business customers who pay by ACH rarely pay through the QuickBooks payment page. They usually send one bulk deposit that covers several invoices, which leaves you to split it up and apply it to each invoice by hand. With this integration, each payment is matched to its invoice one to one, and your books reconcile automatically.

Track every invoice in real time

Status updates from your customer's AP platform flow back to QuickBooks as they happen, so you can see when an invoice has been uploaded, viewed, approved, scheduled, or paid.

Fewer requests for payment details

Your invoice already contains everything your customer needs to pay. You no longer need to send ACH details or a check mailing address.

A better experience for your customers

Paying by card lets your customers earn rewards on their business credit card, which can make them more likely to pay your invoice promptly.

What you'll see in QuickBooks

Invoice activity

When a customer's AP platform picks up one of your invoices, the Invoice activity section of that invoice shows that an AP integration is active. The timeline tracks each step: Sent, Uploaded, Viewed, Paid, and Deposited. If card payments aren't turned on for the invoice, select Enable card payments to turn them on for just this invoice or for all future invoices.

Customer profile

On the customer's profile, a banner lets you know the customer pays through an AP platform, and the Transactions list shows the upload status for each invoice.

Fees

Card and virtual card payments through AP platforms are charged the standard QuickBooks Payments card processing rate. For current rates, see QuickBooks Payments rates.

Why a customer's payment method may change

Your customer decides how to pay in their AP platform. A customer who used to pay you by ACH or check may see that your invoice accepts card and switch to card or virtual card. Because card payments have a different fee than ACH or check, the fee on those payments changes too.

Turn card payments on or off

You decide whether your invoices accept card payments. You can change this for a single invoice, for all future invoices to one customer, or for all your customers. For steps, see Receive and process payments in QuickBooks Online.

Turning off card payments stops customers from paying you through their AP platform. To opt out of AP platform integrations completely, contact QuickBooks support.

Frequently asked questions

Why does my invoice show an AP integration status?

Your customer uploaded the invoice to their AP platform. The status shows you where the payment stands, and there's nothing you need to do.

Why did my customer pay by card?

Your customer chose card as the payment method in their AP platform, where they see the payment options your invoice accepts.

Can this customer keep paying me by ACH or check?

Yes. Turn off card payments for that customer's invoices, and they can pay you using another method.
