Errors when opening your company file in Point of Sale

When trying to open your company file in QuickBooks Desktop Point of Sale, you see one of the following errors:

Failed to open company

Error: Unable to connect to your company data file

Login to company file failed

Connection is broken

Company data file errors may occur if:

  • Point of Sale has been installed as a client workstation instead of a server.
  • Point of Sale is attempting to reconnect to the company data file.
  • The POS database service manager isn't running and is unable to login your file.
  • The connection to the company file has been lost.
  • The company file was damaged.
  • The company file was converted to a higher version of Point of Sale using a Windows XP SP2 Operating System.

Before you perform any of the following solutions, please ensure that you:

  1. Reboot your computer.
    This refreshes the Operating System to its initial state which brings optimum performance.
  2. Log in as the Windows administrator.
    This allows you to make configuration changes in Windows and control your working environment.

Solution 1: Restart Point of Sale services

  1. Close Point of Sale.
  2. Select the Windows Start button, enter services.msc, then press Enter.
  3. Find and configure Intuit Entitlement Service and QBPOS Database Manager:
    1. Double-click the Intuit Entitlement Service vX. (If there is more than one, choose the highest number version you see ).
    2. Select the General tab, from the Startup Type field, select Automatic and ensure the Service status is Started.
    3. Go to the Log On tab.
    4. Select Local System Account and Allow Service to Interact with Desktop.
    5. For Intuit Entitlement Service only:
      Go to the Recovery tab, select Restart the Service from the First, Second and Subsequent failures fields.
    6. Select Apply and then OK.
  4. Open the company file again.

Solution 2: Create a test company file

  1. Open Point of Sale.
  2. From the Start Company screen, select Create new company, then select Next.
  3. In the Company Name field, type Test, then Create.
  4. Open the Test file.
    Note: If the test file fails to open, perform clean reinstall. This may be caused by an issue with the program.
  5. Choose File > Company operations > Next.
  6. Select Open existing company, choose your company file, and select Next.

Solution 3: Restore a backup

  1. Choose File > Company operations.
  2. Select Restore from backup and select Next.
  3. Select Browse to alternate backup file and select Browse.
  4. In the left window, navigate to: C:\Users\Public\Public Documents\Intuit\QuickBooks POS 18.0\Data\"Your Company Name"\Backup.
  5. Select the most recent backup and select Next. This will restore your company file to the date and the time the backup was created.

Solution 4: Rename the Company File

  1. Go to the location of your Company File:
    C:\Users\Public\Public Documents\Intuit\QuickBooks POS 18.0\Data\"Your Company Name".
  2. From the Company File location, right click the file name, select Rename and enter the new file name.
    Note: If you do not want to change the entire name, you may add a letter or number at the end of the name
  3. Open your company file in Point of Sale again.
