Receive items from a purchase order in QuickBooks Commerce

Learn how to receive items from a purchase order (PO) in QuickBooks Commerce.

QuickBooks Commerce is no longer available for purchase as a stand-alone product.
The features referred to in this article are only relevant for customers who still have QuickBooks Commerce bundled with their QuickBooks Online subscription.

A PO affects your inventory, depending on what stage it’s in. When you receive items from a PO, QuickBooks updates your stock levels and product costs accordingly.

Here’s how to fully or partially receive items from a PO in the “Stock Control” section or through the Stock Receiving app.

Receive items from a purchase order

After the vendor fulfills your PO, here’s how to fully or partially receive the items.

Receive all items from a purchase order

  1. Go to Stock Control, then Purchase Orders.
  2. Select the PO you want to receive items from.
  3. Select Receive All.
  4. Enter the received date.
  5. Select the location from the Received in▼ dropdown.
  6. Select Receive.

Partially receive items from a purchase order

  1. Go to Stock Control, then Purchase Orders.
  2. Select the PO you want to receive items from.
  3. To uncheck all items, select NOT YET RECEIVED.
  4. Select the items you want to receive.
  5. Enter the quantity in the “TO RECEIVE” column.
  6. Select Receive Selected.
  7. Enter the received date.
  8. Select the location from the Received in▼ dropdown.
  9. Select Receive.

Receive items from a purchase order through the Stock Receiving app

The Stock Receiving app lets you receive and count items in POs with a barcode scanner. Here’s how.

Note: If you haven’t yet, here’s how to set up the Stock Receiving app.

  1. Connect your Bluetooth scanner to your device.
  2. Go to Browse Apps, then select Stock Receiving.
  3. Sign in with your QuickBooks Commerce account.
  4. Scan the barcode on the PO, or enter the barcode ID.
  5. To receive all items, select Receive All.
    To partially receive an item, select the item. Then enter the quantity.
  6. Select Confirm.

You’ll see the updated summary of the items you received. To receive items from a new PO, select Start a new session.

Check your stock levels

Now that there are new items in your inventory, here’s how to check your stock levels.
