Products and services aren’t always taxable at the standard sales tax rate. The taxability of what you sell can vary by state and, in some cases, by city or district. There may be special rules like exemptions, price thresholds, reduced rates, or fees. These need to be calculated at the point of sale.
Sales tax categories in QuickBooks Online help you account for those special rules without having to do the work or research yourself. When you assign a product or service to the closest category, QuickBooks applies specific tax rules for that item, based on where you sell it. This means you don’t have to manually work out the taxability for every product or service you sell for every sale.
So, by assigning a sales tax category to your products and services, you can be sure the correct taxability determination, accurate tax rate, and any applicable fees are calculated for every sales transaction.

You should assign items that often have special rules to a sales tax category, including:

Meals and catering — may have different tax treatment than grocery items and can include local rules.
Medical items — prescription vs. non-prescription, and specific item taxability rules vary by state.

What happens if products and services aren’t assigned to sales tax categories?
Without assigned categories, all the items that commonly need a sales tax category (listed in the previous section) default to standard taxable in QuickBooks Online. Assigning categories tells QuickBooks to apply any of these special rules to your product or service, right down to the specific address.
