Fill out a W-9 and view your 1099

Learn how to provide your W-9 to your employer. If your employer creates your 1099 in QuickBooks Online, you'll get an invite to view it online when it's ready. It's a secure and convenient way to share and access important tax information.

Complete your W-9

If your employer or client uses QuickBooks Online, they can invite you to fill out Form W-9. You can then complete the form directly through QuickBooks Money.

Prerequisites

  • Invite: Ask your employer or client to send an invite to your email address.
  • Account: If you don't have a QuickBooks Money account, you can create a limited one specifically for your tax forms. If you already have an account, ensure the invite is sent to your sign-in email.

Fill out your W-9

  1. Open the invite email and select the link.
  2. If you already have a QuickBooks Money account, select Sign in. Or, follow the steps to create a limited QuickBooks Money account. This account has limited features: you can fill out your W-9, submit it, and view your 1099.
  3. Go to the Incoming forms tab.
  4. Select Create W-9 (if starting a new one) or Manage W-9 if you already have a previous W-9.
  5. Follow the steps to fill out and submit your W-9, or resend your updated W-9.

Now your employer has the info they need to complete your 1099.

Update your W-9

You only need to fill out your W-9 once. You can sign in and send your existing W-9 if you get another invite from someone else. If you need to edit your W-9, change it before your employer or client submits your 1099 to the IRS:

  1. Sign in to QuickBooks Money. Use the same account you used to fill out your W-9.
  2. Go to the Incoming forms tab.
  3. Select Create W-9 (if starting a new one) or Manage W-9 if you already have a previous W-9.
  4. Follow the steps to fill out and submit your W-9, or resend your updated W-9.

Tip: The info automatically updates for your employer or client in QuickBooks Online. We also recommend you tell them directly if you make any changes.

View your 1099 forms

It's your employer or client's responsibility to give you your 1099. If you don't want to get it online, reach out to them to get a copy.

After your employer or client submits your 1099 to the IRS in QuickBooks Online, you'll get an email when it's ready for download. Select the link in the email to view or print your 1099 forms.You may be asked to create a new sign in.
