Create and manage document folders in QuickBooks Workforce Premium or Elite

Use folders in Team Documents to organize your documents.

What you’ll need

  • An active subscription to QuickBooks Workforce Premium, or Elite. 
  • Administrative access to the Team menu within your product.

Create a folder

Use the Team Documents section to build a centralized folder structure for your business documents.

  1. Go to All apps A bunch of numbers and letters on a tile wall., then Team, then Documents (Take me there).
  2. Next to Add document, select the dropdown ▼, then select Add folder.
  3. Enter a name, then select Create.

Note: If you don’t see a folder in an individual team member’s Documents tab, there are no active documents for that employee within that folder.

If you getan error that a folder name already exists, check your archived folders by selecting the Actions button and then Show archived.

Manage your folders

You can rename, reorganize, delete, or archive your folders and the documents inside.

  1. Go to All apps A bunch of numbers and letters on a tile wall., then Team, then Documents (Take me there).
  2. Find the folder you want to update.
  3. Select the Actions icon next to the folder.
  4. Choose an action:
    • Edit folder name: Rename the existing folder.
    • Add subfolder: Create a new folder level within the current folder.
    • Delete folder: Permanently remove the folder.
    • Move to folder: Select a new destination folder, then select Save.
    • Archive documents: Move all documents inside the folder out of active use.

Note: You cannot archive a folder if a document template exists within it. You must move all templates or archived instances before archiving or deleting the folder.

Results

Changes to your document folders or team member permissions are immediately visible in the Documents tab.

Next steps

If you need to adjust who can see specific files, you can update permissions for uploaded documents by selecting Actions and then Edit next to the document instance on the employee profile.
