Fix an error when syncing hours between QuickBooks Time and QuickBooks Online

Learn how to fix sync log errors when you use QuickBooks Time.

If there’s an issue syncing time between your QuickBooks Time and QuickBooks Online accounts, we’ll do our best to surface what's wrong. In some cases, you may need to check the sync log in QuickBooks Time to find an answer. To view the sync log: 

  1. Sign in to QuickBooks Time,
    or in QuickBooks Online, go to Time, then Overview, and select Go to classic QuickBooks Time.
  2. Select the QuickBooks dropdown, then View Sync Log.

How to fix:

Fix a payroll mapping error

Before you sync payroll hours, you need to add the type of pay for each employee. If some pay types aren’t set up or mapped, you’ll get the following errors:

  • In QuickBooks Online: You have an employee who has an issue with their setup. To make sure they're paid correctly, you need to fix their pay types.
  • In QuickBooks Time sync log: Error syncing hours, the user doesn’t have any payroll items assigned. Use the Payroll Item Mapping Tool to assign payroll items to this user and then re-sync the time.

Step 1: Add a pay type in QuickBooks Online

If you haven’t already, make sure your pay types are set up and assigned to employees in QuickBooks Online. 

  1. In QuickBooks Online, go to Payroll, then select Employees (Take me there).
  2. Select your employee.
  3. From Pay types, select Start or Edit.
  4. Select the applicable pay types.
  5. When finished, select Save.

Step 2: Assign payroll items in QuickBooks Time

Then, match those pay types to time types in QuickBooks Time.

  1. In QuickBooks Time, select the QuickBooks dropdown, then Preferences.
  2. Select Payroll Item Mapping Tool.
  3. Select the pay type for each employee.
  4. Close the window when you’re finished.

Fix a closing date error

If you’re trying to sync time to QuickBooks Online and get one of the errors below, it means your QuickBooks company file books are closed for the date range of time needing to be sent over. You may see one of the following errors:

  • In QuickBooks Online: Error exporting X hours, error code: 6200, QuickBooks detail: The account period has closed.
  • In QuickBooks Time sync log: QuickBooks rejected a X hour timesheet, reason: An attempt was made to modify a Time Tracking with a date that is on or before the closing date of the company [...] OR Error Code: 6200, detail: The account period has closed.

Here's how to fix this:

  1. In QuickBooks Online, select Settings ⚙, then Accounts and settings.
  2. Select Advanced, then in the Accounting section, change the closing date of your books and Save.

Fix a feature error

If you're syncing time to QuickBooks Online and get the error, "Feature Not Supported Error: We’re sorry. This feature is not included in your QuickBooks Online Essentials subscription" it's because class tracking isn't available in QuickBooks Online Essentials or Simple Start. Here's how to fix it:

  1. In QuickBooks Time, select the QuickBooks dropdown, then Preferences.
  2. Uncheck Class
  3. Run a sync again.

Fix a permissions error

If you're running a sync in QuickBooks Time and get the error, "Insufficient Permissions" OR "Permission Denied", it's because you don’t have the correct permissions for this action in QuickBooks Online. You’ll need to either sign in as the primary admin in QuickBooks Time or QuickBooks Online, or contact your admin to update your permissions.

Fix a billable error

If you're syncing time to QuickBooks Online and get "Error exporting [x] hours,error code: 9332, QuickBooks detail: Unable to process billable time activity [...]", it means a setting is turned off in QuickBooks Online that should be on. This error will show regardless if the time is billed or not. Here's how to fix it:

  1. In QuickBooks Online, select Settings ⚙, then Accounts and settings.
  2. Select the Time, then Timesheet.
  3. Turn on Allow time to be billable, select Save, then Done.

Fix a missing employees error

Employee names in QuickBooks Online must match exactly those in QuickBooks Time to export hours. If they don’t, your sync log will display a message that says: “Can't export [employee’s] time, because the user's account isn't found in your QuickBooks Employee List”. Here’s how to fix this:

  1. In QuickBooks Time, select the QuickBooks dropdown, then View Sync Log.
  2. Next to the error message, select Fix This.
    Note: if you don’t see the error message, select a different sync report. Sync reports that contain error messages display in red.
  3. A list of your employees from QuickBooks Online displays. Search for and select the matching employee.
    1. If you can’t find the employee, you need to add them into QuickBooks Online. Then, try to match the employee again.
    2. If you don’t want to sync this employee’s time, you can select Exclude this user's time.
  4. Select Save. Repeat if there is more than one unmatched employee.

Fix an authentication error

If you are trying to sync hours from QuickBooks Time to QuickBooks Online and you see the following error message: "Internal error: 3200:message=Exception authenticating OAuth; errorCode=003200; statusCode=401", the authorization token from Intuit has expired. Here’s how to fix this: 

  1. Close your QuickBooks Time window.
  2. Sign in to QuickBooks Online as the primary admin.
  3. Go to Time and select Launch QuickBooks Time.
  4. Try another sync.
