How to track time in QuickBooks Online Accountant

You can configure team members’ access to use time sheets.

Note: Your team members need to have access to Customers & Accounts Receivable, as well as Suppliers & Creditors, in the Your Firm’s books to be able to use timesheets. Other accountants at the firm (Firm Users) only need View Only access.

Give timesheet access to a new team member

Here's how to give timesheet access to a new team member:

  1. From the Navigation menu, select Team.
  2. Select Add User.
  3. Enter the name and email address and select Next.
  4. Select Custom for the Access.
  5. Under Your Firm Administration, change the Firm users to View only.
  6. Under Your Firm books, select Yes for the Customers & A/R and Suppliers & Creditors.
  7. Select Save.

Give timesheet access to an existing team member

Here's how to give timesheet access to an existing team member:

  1. From the Navigation menu, select Team.
  2. Choose the team member you want to give access to.
  3. Select Firm Administration and Books, then Your Firm Books.
  4. Under Your Firm Administration, change the Firm users to View only.
  5. Under Your Firm books, select Yes for the Customers & A/R and Suppliers & Creditors.
  6. Select Save.

Access and use timesheets in Your Books

Here's how to access and use timesheets in Your Books:

  1. Select Your Books from the Navigation menu.
  2. Select the Create ⨁ icon.
  3. Select Single Time Activity or Weekly Timesheet depending on which applies to your work.
  4. Once under Single or Weekly time activity, select a Name field. Add the Employee or Supplier name (the system does not populate team members).
