I'm here to guide you through the process of exporting your data to Desktop.

 

The first step in this process is to make sure your security settings in Internet Explorer and QuickBooks Desktop are set up properly. This gets you ready for a more seamless transfer.

 

How To Set Up Internet Explorer:

  1. Right-click the Internet Explorer icon and select Run as administrator.
  2. Press on the Tools  icon, then Internet options.
  3. Choose Security, then Trusted sites Sites.
  4. Add *.intuit.com to the zone field.
  5. Make sure Require server verification (https:) for all sites in this zone is unchecked.
  6. Close the Trusted Sites window.
  7. Uncheck Enable Protected Mode.
  8. Hit Apply, then Okay. Leave Internet Explorer open.

 

How To Set Up QuickBooks Desktop:

  1. Right-click the QuickBooks Desktop icon and select Run as administrator
  2. Go to File and select Close Company.
  3. Leave QuickBooks Desktop open while you complete the rest of the steps.

Now that you've got your security settings ready, you can now prepare to export your QuickBooks Online data. I've provided the steps below on how you can do this with ease.

 

Prepare your QuickBooks Online Data For Export:

  1. Sign in your QuickBooks Online account through the Internet Explorer window. Go to the Gear ⚙ icon and select Export Data.
  2. Enter your reason for exporting and press Continue.
  3. In the Moving to QuickBooks Desktop section, hit Learn more.

       4. In the Download company data section, click Learn more.

       5. Choose Get started.

       6. Select Install ActiveX Control now and follow the steps to install ActiveX.

       7. When it's finished, hit Continue.

       8. Pick the data you want to export and Continue.

       9. Review the limitations and click Continue.

      10.Enter your contact information and then Continue.

 

Next, you'll get an email when your data is ready. This usually takes a few minutes, but it may take up to two hours for companies with many transactions.

 

You're almost there! The last step is to finish your exporting your data. You'll need to repeat a few steps to get back to the export page, but don't worry, I'm here with you all the way. The final steps are listed below.

 

Finish Exporting Your Data:

  1. In QuickBooks Online, go to the Gear ⚙ icon and select Export Data. Then, repeat steps 2 through 5 above.
  2. On the Exporting from QuickBooks Online page, press Continue to download Download.
  3. In the Save your company file window, choose a location to save the file. Pick a place other than your Windows Desktop.
  4. When the download finishes, hit Convert Now.
  5. In the Create a new QuickBooks file window, give the file a name and select a location to save it in. Put it on your local computer and not a network or external drive.
  6. After the export is done, select Finished.

It may take some time for this process to finish. Even if it looks frozen, it doesn't mean the export has failed. Give it a few minutes and the progress bar will move again.

 

Check QuickBooks Desktop for an Application Certificate. On the certificate, choose Yes, prompt each time then Continue. In the confirmation window that follows, press Done

I have done this earlier but it seems with the new QB online update, there is some bug.

I am able to follow other steps mentioned by you but get struck up in the following step:


Prepare your QuickBooks Online Data For Export:
  1. Sign in your QuickBooks Online account through the Internet Explorer window. Go to the Gear ⚙ icon and select Export Data.

When I go to gear Icon as mention above , and click on it. It ( the gear icon) disappears and only the bell icon appears. So I have no gear icon from where to make a choice. Can you please try this for yourself and confirm if this is working for you.

The link gives the same problem too and I am not able to proceed ahead to export since the gear icon vanishes.

I would appreciate more help on this since it is critical for me to export this daya to QBD file at the earliest

I'm here to share additional steps that'll help you in exporting your data, @manju1.

 

You may want to consider manually changing the display setting of your browser. Your browser's resolution may have affected to display of the Gear icon in your account.

 

To do so, simply press the Ctrl and keys on your keyboard. In addition, you can also update the screen resolution of your computer. Let me show you how:

  1. On your desktop screen, right-click on any black spot.
  2. Select Screen Resolution.
  3. Click 1024x768.

For Mac OS:

  1. Go to the Apple menu.
  2. Select System Preferences.
  3. Tap Display.
  4. Click 1024x768.

Once completed, you can go back and continue exporting your data by following the steps discussed on this thread.

One has to first login into QB Online  and then  copy paste this link & this works like magic.

I’m here to get your data exported to QuickBooks Desktop. Internet Explorer is the supported browser in Desktop but isn’t support with QuickBooks Online, which is the reason the Gear icon disappears. 

 

However, you can following the URL below to export the files.

After, you’ll be able to prepare to export your files and here’s how:

 

  1. Go to the Get Started button in the Export Overview window. 
  2. Click Install under ActiveX Control Now.
  3. When it's finished, choose Continue.
  4. Find the data you want to export, then pick Continue.
  5. Review the limitations and push Continue.
  6. Enter your contact info and then select Continue.

Let's clear your Internet Explorer's (IE) cache so you can export your data to QuickBooks Desktop (QBDT) successfully.

 

There are times that the IE stores frequently-accessed data, thus causing QuickBooks Online (QBO), to act weirdly. Here's how to clear the browser's cache:

 

  1. In your Internet Explorer browser, click the Gear icon.
  2. Select Safety and choose Delete browsing history...
  3. In the Delete Browsing History window, put a checkmark to Temporary Internet files and website files only.
  4. Click Delete. A confirmation message will prompt.

I have been having the same issues with the "gear" icon disappearing. I am able to get to the "Export Overview" screen by using the link provided above after already being logged in so that's great, however when I click on "Get Started" nothing happens. Is there a setting that is blocking me from moving forward?

Like my colleague @Mark_R says, let's clear your browsing data so that you'll be able to export your company information from QuickBooks Online to QuickBooks Desktop.

 

Your browser will store data (websites, search terms, etc) over some time, causing error messages or glitches within different software that you may use. When you clear your filing data, this will allow QuickBooks to load as a fresh new page so that no errors or glitches are standing in your way. Here's how to clear your cache and cookies in Internet Explorer:

  1. Go to your Settings icon within Internet Explorer.
  2. Hover over Safety.
  3. Select Delete browsing history...

 

      4. Make sure you have History and Cookies and website data checked to delete those files.

      5. Click Delete.

First login into QB Online into the Company for which you need the back up and then copy paste this link & this should then work. Do let me know if this works for you.

I need to convert QBO to QBD and when  I try to run QBOA in internet explorer 11, I don't get the whole screen.  The drop down for the client file and the client file panel is missing.  Please advise as to how to get it to run properly within IE 11, or alternative approach for converting   QBO to QBD.

Thank you for joining us here in the Community. I'll be more than happy to walk you through the step by steps instructions on how to convert your QuickBooks Online (QBO) data to QuickBooks Desktop (QBDT). 

 

Make sure that you're in the client's account when importing the data, not in your QuickBooks Online Accountant account. So that you're able to see the client file.

 

The importing process will be required to have Active X  installed in the  Internet Explorer (IE).  Once verified, let's set up the security settings in IE. 

 

Here's how:

  1. Go to the Settings, then hit Internet Options.
  2. Choose Security and click Trusted sites. 
  3. Tap Sites. 
  4. In the Add this website to the zone field, enter *.intuit.com and *.qbo.intuit.com. 
  5. Make sure the Require server verification (https:) for all sites in this zone box is unchecked. 
  6. Put a check-mark in the Enable Protected Mode is an unchecked box.
  7. Hit Apply, then Okay

The second step is, go to your QBDT account and right-click to Run as administrator. Then click File and pick Close Company. Leave QuickBooks Desktop open while you complete the rest of the steps.

 

Next is export the QBO data. You can follow the instructions below. 

  1. Choose the Gear icon located in the upper right-hand corner.
  2. Under Tools, click Export Data.
  3. Select the option why you are exporting the data, and click Continue.
  4. From the Export Data window, click the Reports tab and pick the date from the drop-down list. 
  5. Hit the Lists menu to export customers, employees, and vendors.
  6. In the Moving to QuickBooks Desktop section, select Learn more.
  7. Click Learn more again under the Download company data section.
  8.  Review the limitations and click Continue and enter your contact information. 
  9. Click Continue. You'll get an email when your data is ready. 

The last step is, import the transactions to QBDT. But before doing that, please take the time to check the limitations when you convert from QuickBooks Online to QuickBooks Desktop. Once confirmed, go back to QBO, select Settings, and choose Export Data. On the Exporting from QuickBooks Online page, select Continue to download, and press Download. 

 

After that, switch to QBDT and follow the directions below. 

  1. In the Save your company file window, choose a location to save the file. 
  2. Hit Convert Now.
  3. In the Create a new QuickBooks file window, give the file a name and select a location to save it in.
  4. Select Finished.

Hi - I encountered the same problem - missing gear icon - and called support.  One hour later they had a ticket opened with their Data Services team to complete my QuickBooks data migration.  Just one issue I see:

QuickBooks is requesting Company Admin access to my QBO account.  If I grant them access it says "They can see and do everything. This includes sending money, changing passwords, and adding users. Not everyone should be an admin."

 

Should I grant them access?  Worried about it them having access to my bank and my password and adding other users.
