Cannot Convert QuickBooks Online to QuickBooks Pro Desktop 2018

I'm following the steps for converting from QuickBooks Online to QuickBooks Pro Desktop. I'm using the QuickBooks Pro Desktop 2018 Trial version to see if it works before I purchase a licensed copy.

 

It fails at Step 4: Convert Now

 

It downloads the export_company.qbxml file to my Desktop.

The next step is to open QuickBooks Pro Desktop and leave it at the "No Company Open" screen, which I did.

I click the "Convert Now" button and get the error from QuickBooks Pro Desktop 2018:

"QuickBooks already has a company file open..."

 

What am I doing wrong? How do I get this to work?

Thanks for the replies. I've done a QB Online to QB Pro Desktop conversion before with QB Pro 2017 without problems. But this was my first time trying it with QB Pro 2018.

 

What I tried that didn't work:

* I killed all the running instances of QBPro running in memory. Restarted QBPro. Started the conversion process with QBO again. Didn't work.

* I rebooted my computer. Started QBPro. Started the conversion process with QBO again. Didn't work.

 

I eventually figured out and solved my own problem.

The error message is a default error and is not the real error. I didn't have any company files created or any company files open, so the error message is not reporting the correct error.

 

What I did that worked:

Not sure if all these steps were necessary, but it's what worked.

1. Open a Sample company, I chose a Services-based sample company

2. Close the company and go back to the No Company Open screen

3. Click the menu bar Help --> Activate QuickBooks Desktop (I'm using a 30-day Trial didn't think I need to do this, but did it anyway)

4. Click the Activate button

5. Close the "We just need to verify your identity to activate" browser window, return to the No Company Open screen

6. Start the conversion process again with QBO. This time it worked, no error message!

I'm here to talk you through converting your file successfully.

 

Before converting your QuickBooks Online file, make sure the QuickBooks Desktop program is closed. Next, we'll need to configure Internet Explorer's security.

 

Here's how:

  1. Add *.intuit.com to the rusted sites.
  2. Within Internet Options, select the Security tab.
  3. From the Command Bar, select Tools and choose Internet Options.
  4. Open Internet Explorer.
  5. • Click Trusted Sites.
    • Within the Trusted sites window, un-check Require server verification ( https: ) for all sites in this zone.
    • In the Add this website to the zone field, type: *.intuit.com. Note: It is recommended that you remove all other websites in reference to intuit.com from the list of websites, as *.intuit.com will cover all Intuit sites.
  6.  Close the Trusted sites window.
  7. Uncheck Enable Protected Mode.
  8. Close Internet Explorer.

 

After closing Internet Explorer, we can now proceed with running QuickBooks Desktop and Internet Explorer in Administrator Mode. Before doing so, make sure QuickBooks Desktop is installed on your computer.

 

Here's how to run as Admin:

  1. Locate the program from a desktop shortcut, or through the programs in the Start menu.
  2. Right click on the program and select Run as administrator.

Export your data again to see how it goes. Here's an article for more reference: Visual Guide to Export.

A qbxml file can not be opened by desktop

 

Something else to check, with QB open, menu edit preferences>general

and insure that the setting to keep QB running for faster startups is set to off, unchecked

If you have to reset it, close QB, shut down the computer and start it back up, not a restart, shut it down

 

All that said

The export to desktop (US Only) provides you with a file that must be opened in desktop within 10 days, and the file has known problems, some things do not export, inventory exports as service items with no history, payroll if you have it is exported as regular paychecks, these and other known problems have existed for over 9 years

Print out the QBO P&L, balance sheet, inventory valuation summary (if you have inventory), and sales tax liability as a minimum, compare the QBO reports to the same reports in desktop after you have a desktop company file - they must match, if not you have to find and correct the problems, intuit will not help

 

IMO if at all possible, it would be better to just re-enter all transactions in desktop

Sir,

 

I followed this link;

and then ran Internet Explorer Brower as Administrator and then excatly followed this link;

But soon after login, it is asking me to upgrade my Internet Explorer whereas I already have Windows 8.1 with IE version 10+ availale.

 

The screenshot of my error along with the version of IE is shown here;

 

Initialy i thought i should upgrade to version 11 of IE as per screenshot but it takes me to a url where it is asking me to upgrade my Windows 8 to Windows 10.

I don't know you but I LOVE you!!!!   :)

I've only converted QBO to QBD a few times but have trouble every time.  I go through all the steps listed but it doesn't work.  I then googled the problem again and discovered you.  THANK YOU so much.  I've saved your instructions for future use.  Putting QBD AND IE in Admin mode is the crucial step left out of most instructions I found on the internet!  THANK YOU - THANK YOU - THANK YOU!!!!

Hey scottkeen, Wow. Great find. I was able to duplicate the issue, yet the workaround just didn't work for me. I tried it several times and even restarted the conversion process as you stated.

 

Regardless, I'm filing a report to our product developers today. I'm just curious if the workaround has worked for any others as it has for StoutBookkeeping. Thanks, ~BT

It has been months since I needed to get a backup of a client's QBO or convert a client to desktop. That said, attempting this yesterday (08/01/18) caused much frustration and ultimately I gave up for the day. In the past, this was a rather SIMPLE task! NOT anymore. Here is what I finally figured out, that NONE of the Intuit dialogue boxes or "help" will tell you.

 

1. Open your desktop QB in ADMINISTRATOR MODE! (this is KEY and not mentioned ANYWHERE in the QBO instructions as you are creating/downloading/converting the file!).

To do this, right click the QB desktop icon, and click "Run as administrator." If a company file opens, close it so that you are at the main QB screen to choose what company to open.

 

2. Open Internet Explorer in ADMINISTRATOR MODE! (again, key and not mentioned by Intuit). Do this the same way as above for QB Admin Mode. Also of note, you MUST USE IE for this process. You cannot use ANY other browser. If you do not have IE, go get it. 

 

3. AS SOON AS YOU OPEN Internet Explorer, BEFORE you login to QBO, you MUST turn off your pop-up blocker. Attempting to do this AFTER logging into QBO and while you're in the process of converting will serve only to lock up the QBO website!

To turn off the pop up blocker in IE, go to the tools icon, choose Internet Options. Go to the "Privacy" tab. UN-check "Turn on Pop-up Blocker". 

 

4. Login to your QBO account. Click the gear icon, select "Export Data".

 

From that point forward, it is pretty self explanatory, and by following the on-screen instructions you should have your desktop backup/working file in no time. It would have saved me HOURS had steps 1 - 3 above been included in the instructions AT the QBO account. Intuit FAIL!

I'm getting the same error message as everyone in this chat but I'm using Accountant's version 2019:

When I click convert a message pops-up "Can't Open QuickBooks:QuickBooks already has a company file Open..."

 

So I started from scratch again. The QB email instructs me to go to QBO tasks. When I open QBO in explorer I cannot see/ open tasks or the list of items on the left side under QB Accountant. As per my email:

  1. Click the task or to do item called "Download the company file created on 10/06/2019"

I've tried every suggestion (block pop-ups, ran as administrator, etc) and followed all steps but still can't get the file or convert it.

I tried using with both QBD Accountant Enterprise 2019 and QBD Accountant 2019.

Please help.

I need to convert my own accountant account, not my clients.

I know how time-consuming it can be when you're unable to export your data file

from Accountant Online to the Accountant Desktop version, @GranadaBook

 

The steps above are the ways to fix the error when performing the conversion process. Since the same issue persists, I'd recommend getting in touch with our Technical Support Team. They have the necessary tools to determine why you're still getting an error when clicking Convert Now. They can also double-check why you're unable to see the task or to do item on the left side under your Accountant Online version.
