Let's get this working for you and get back to business.

In newer versions of QuickBooks, you can use Secure Webmail for an easier and safer connection to your email provider. You can try to setting up Secure Webmail.

Here's how:
  1. From the QuickBooks Edit menu, select Preferences and click Send Forms.
  2. Select Web Mail and click Add.
  3. Select your provider from the drop-down and enter your email address.
  4. Ensure that the Use Enhanced Security checkbox is checked.
  5. Click OK.
  6. When prompted, sign in to your Intuit account. The username or email address you use here may not necessarily be the same as the one you are connecting to QuickBooks.
  7. Your webmail provider's login page will display. Sign in and choose to grant Intuit access.

Get stuck at step number 6.  It has the incorrect  email for login and it does not allow me to change it.

I want to make sure you're able to set up your email service in QuickBooks Desktop.

 

Before you connect your webmail, please make sure to update your QuickBooks company file to its latest release. Once done, you can go ahead and follow the steps provided by my peer @BettyJaneB.

 

You can also try clicking on the I forgot my user ID or password to retrieve your account information. However, if this gives you the same result, I'd recommend getting in touch with our QuickBooks Technical Support Team.

 

They can help you get connected to the QuickBooks email service and assist you with the hitch you're experiencing. They can also do a screen sharing session to isolate the issue immediately. Here's how you can get in touch with our phone representatives:

  2. Choose Quickbooks Desktop.
  3. Select the product type you're using.
  4. Click on the Search for something else button.
  5. On the box, type QuickBooks Email Set up.
  6. Click Search.

Having the same problem with Quickbooks Desktop Pro 2019.  I can send email with my owner server setting, but our company gmail account, it fails, even though the settings are correct and verified

Same issue with Quickbooks Mac 2019.  Cannot log into Google Gmail/Gsuite.  Enabling Less Secure Apps is no longer an option in Google's interface. Now the Google/Gmail/GSuite user must log into the google account (myaccount.google.com) then click on SECURITY, and then APP PASSWORDS, Then the user must generate a unique app password for Quickbooks. This password replaces the normal password for the email account.

Even with all of this set up correctly, QB Mac 2019 still does not allow you to authenticate with Google to make this work.

I'm here to share some information about setting up an email using Gmail from QuickBooks.

 

There are several possible reasons why you're not able to set up email using Gmail with enhanced security. It could be that you have an Anti-virus program blocking the outgoing emails.

 

If so, I suggest disabling the Anti-virus before setting up your email preferences in QuickBooks. You can reach out to an IT expert to help you further.

 

I'm attaching this article for you reference: QuickBooks is unable to send the email since your anti-virus has blocked outgoing emails.

I figured it out and it is none of the above things you stated.  Rather Quickbooks is considered (ironically) an insecure application.  Thus they changed their gmail policy and listed it as such.  Seems you are not coding it in a way the considered safe (again, ironically) for google standards.  I had to downgrade my company google gmail account to a un-safe application...and then it worked.

 

It really has nothing to do with firewalls and virus checkers.  Those are in-bound objects.  If there were spam going on, the internet security would notify me,a s would my server.   Forgive me..but please, you need to stop guessing at thing and assuming more.

What was previously working just fine now isn't for me in QB 2019 desktop.  I could email invoices no problem with Yahoo and now I can't.  I've tried adding a gmail account and that doesn't work either.  When I add the account and then try to check "Use enhanced security...", I get instrucitons with items 1) & 2) and a note that QB will securely store webmail credentials.  When I click OK, I'm told "The server address field is empty.  Please enter a valid server address."   When I checked the box for enhanced security, the server address had the default information in it.  Only way to get back to the SMTP server details is to uncheck the enhanced security box and then I'm back to it not working.  Is there something else I can do?

QuickBooks 2019 work with secure webmail services like Gmail and Yahoo Email. Let's run some troubleshooting steps to fix this unexpected behavior and send your invoice by email. 

 

Before you perform any troubleshooting steps, let's make sure that your QuickBooks is in its latest release. Updating the release version will help to fix issues like unable to send emails. 

 

Then, make sure QuickBooks is running as an administrator. Here's how:

  1. Right-click the QuickBooks icon, then select Properties.
  2. Select the Compatibility tab.
  3. Deselect Run this program as Administrator. If the Run this program as Administrator button is grayed out, select the Show Settings for All Users.
  4. Select OK.

After that, restart QuickBooks and send a test email or transaction. If you get the same result, edit your email preferences in the company file. 

 

Here's how: 

  1. From the Edit menu, select Preferences
  2. Select Send Forms from the menu.
  3. Go to the My Preferences tab.
  4. Select WebMail as your email option.
  5. Click Edit.
  6. Mark the SSL box, or just select Default.
  7. In the Server Name field, make sure the server name matches your email provider's settings. (If you see smtp.mail.yahoo.com for example, change the name intuit.smtp.mail.yahoo.com and click OK.)
  8. Close QuickBooks and all other open programs.
  9. Restart your computer.

I have the same issue just in the past month sometime it stopped working on Desktop Pro 2019.  I have all of the settings as listed, I reinstalled chrome, I have made sure I have installed all updates. When I go to authorize webmail it gives me this message in the popup window

This browser or app may not be secure.
Try using a different browser. If you’re already using a supported browser, you can refresh your screen and try again to sign in.

Thank you for providing details on the error message that you get when you try to authorize webmail on your computer.

 

The error message you stated is from Google Chrome itself. As @dskurth stated above, you can try to enable Less secure app access. You do this so Google will allow the connection with QuickBooks.

Hello @marvberg,

 

While waiting for the response coming from our member, @dskurth, you can downgrade the email access of QuickBooks in google in just a few steps.

  1. Open your Google Admin console.
  2. Under Security, select Basic Settings.
  3. On the Less secure apps section, select Go to settings for less secure apps.
  4. Toggle the Access to less secure apps option.
  5. Click Save.

probably stuck until qB desktop provides a patch

Thank you for following the thread. I'm happy to provide some insight into QuickBooks email service. 

 

If you're using QuickBooks email service, and it is not working for you, and none of the above suggestions are working. I recommend toggling your email preference to use Outlook or a webmail service such as Gmail, Yahoo, etc. Sometimes toggling your email service will help to reset the preference rather than just editing.

 

To toggle the email:

  1. Select the Edit menu and then select Preferences.
  2. Click Send Forms from the menu. Then go to the My Preferences tab.
  3. Choose Outlook or Webmail, and then OK. This toggles your preference off.
  4. Repeat the steps. Go back to the My Preferences tab and select Outlook. Then select, OK.
  5. Close QuickBooks and all other open programs.
  6. Restart your computer.

 

Please test it out by sending an email from QuickBooks using your new email service provider. If that works, let's toggle back to your QuickBooks email.

I have two factor authentication on my google account which made it so I had to go create an app password and use the password provided as my email password through quickbooks.

The following worked for me today after migrating Quickbooks 2018 to a new computer and discovering that sending emails through gmail no longer worked as it had on my old computer.

 

I had to delete the previous email account in Quickbooks Preferences, as people have detailed here previously. Then switch on 2-Step Verification on your Gmail account. Then use App Passwords to generate a 16-character password to enter into Quickbooks when it asks for password. That is the password that's *exclusive* to your app (ie, QB) and that you don't need for any other purpose.

Are you having trouble sending email through Gmail in QuickBooks? If so, I'll guide you on how to delete your account then set it up again.

 

  1. Go to the Edit menu, then select Preferences.
  2. Select Send Forms from the menu, and then click My Preferences tab.
  3. From there, choose your email address then click the Delete button.
  4. Back up your company file.
  5. Close QuickBooks and all other open programs.
  6. Restart your computer.

 

Once done, you'll need to re-add your email address.

 

Here's how: 

 

  1. Go to the Edit menu and select Preferences.
  2. Select Send Forms.
  3. Select Web Mail and Add.
  4. Fill out the Add Email Info and select OK.
  5. Select OK to save your changes.
