I'm not familiar with Desktop, and my new computer uses Desktop. How do I / we convert Online to Desktop?

Here is the entire article on moving from QBO to QB Desktop. Read the Reminder before you begin and as it says, do not skip any steps.

Visual Guide to Export

Here's a visual guide you can use when exporting your data from QuickBooks Online to QuickBooks Desktop.

  Important:
  • QuickBooks Online is not compatible with the 64-bit version of Internet Explorer in Windows 7. Make sure that you have the 32-bit version of Internet Explorer instead.
  • You must be logged in as an Admin user on both QuickBooks Online and Desktop for this process to work.
  • If you're having trouble installing the ActiveX control or getting error messages, see Can't install ActiveX control in Internet Explorer when exporting QuickBooks Online data.

Export your data from QuickBooks Online

    1. Run Internet Explorer and Quickbooks Desktop as the Administrator even if you are logged in to your computer as the Admin.

    2. Turn off Protected Mode from Internet options (Alt+X), then add https://*.intuit.com, https://*.qbo.intuit.com and https://*.quickbooks.intuit.com to your browser's Trusted Sites Zone.
      Note: After doing this, you will have to close/re- open Internet Explorer for Protected Mode to be truly disabled. Repeat step 1 before opening Internet Explorer if you have to disable Protected Mode.

    3. In QuickBooks Online, select the Gear icon at the top. Under Tools, choose Export Data.

      Note: A pop- up window appears with a quick question about your reason for exporting. Choose your reason, then select Continue.

    1. Under Moving to QuickBooks Desktop?, select Learn more.

  1. Under Download company data, select Learn more.

  2. Review the export overview, then select Get Started.
  3. Select Install for the ActiveX control, then choose Install ActiveX Control Now to confirm the installation.

    Note: There will be another window that will prompt for the next step to install ActiveX.

  4. After successfully installing ActiveX, select Continue.

  5. Choose the data you want to export. At the bottom right, select Continue.

  6. Review the limitations of the data that will be exported, then select Continue.

  7. Enter your contact information. At the bottom right, select Continue.
    Note: You will receive an email with steps to complete the export conversion within a few minutes to 2hrs, depending on the amount of data that is being prepared. Receipt of this email means the data has been compiled and you are ready to move on to the next step.
  8. Repeat step 6, then follow the prompts until you reach the screen that shows the next step.
  9. Choose your preferred option. At the bottom right, select Continue.
  10. Follow the steps, then select Download.

  11. A pop- up window will appear and ask where you’d like to save the file (we suggest the Desktop folder), then select Convert Now.

  12. In the Application Certificate, choose Yes, prompt each time.
  13. Select Continue, then choose Done.

  14. At the bottom right, select Finished. Run some reports to confirm that your data is successfully converted.

We suggest you run 2 reports in both QuickBooks Online and in QuickBooks for Windows to ensure your data was transferred correctly.

  • Profit and Loss
  • Balance Sheet

In order to compare data accurately, 2 things are vital to verify your reports in both products:

  • Ensure that you are running the reports to include All Dates.
  • Your accounting method must be set to Accrual.

Important: If you lowered your security settings in following the steps, be sure to change them back so that you don't leave your computer open to viruses when navigating to other websites in Internet Explorer.

  • Balance Sheet

not enough, inventory valuation summary and detail

sales tax payable liability reports

A/R aging

A/P

and payroll reports if you have payroll

How do I convert from QuickBooks Online to Desktop?

This is just a painful and pathetic process for getting this done.   We've been using QBO for 7 months only to quickly learn  the things we want to be able to do were only available on desktop.  

 

We followed all the instructions to the tee and the amount of manual entry that needs to be done is just shameful.  We are a Saas and 90% of our invoices repeat monthly.  We knew we had to rebuild each recurring template but couldn't believe none of the paid invoices part of a repeating template would move over.   This is clearly like this to force people to stay with QBO, which I wouldn't mind if it could do what desktop can.

As we always advice to our clients, there are 3 options to consider:

1. If you don't have time but money, purchasing a 3rd party conversion service

2. If you have time to explore, do it by yourselves with data migration tools

3. Integrate your QBO with various add-on

Thanks.  We should've dove deeper before making a decision on QBO vs Desktop.   Never thought the difference between the 2 would be as much as this.    I feel like every day I'm finding another limitation.

 

We called a service and it was about 4k, which is a lot for the very little we've used it so far.  Just invoicing and payroll.  Haven' done anything else with it yet.

Hello there, @crosswyred.

 

When converting from Online to the Desktop version, some transactions may not be transferred due to export limitations

 

After you've exported your data, I recommend running the Balance Sheet and Profit Loss reports. You'll need to run these reports on an Accrual basis and for All Dates to ensure the numbers match in both programs.

These instructions are awesome!!!  However it would be really nice if the Gear Icon would work.

Everytime I click on the Gear Box it disappears and I cannot get it back.  It does not drill down into the prompts.  I have researched the Gear Box Icon Troubleshooting within the community.  Nothing is working.  I have a client that has decided to go to Desktop and I have been working on getting the export done for three days now.   What the heck is going on with the Gear Box.   It works in Chrome on Windows 10 but not on Windows 7 and Internet Explorer.    HELP!!!!

We received a related issue about the Gear icon that disappears when clicked. Thou, there is a temporary workaround while our Engineers are fixing the Gear icon. This is the URL to initiate the download: http://qbo.intuit.com/app/exportqbodatatoqbdt.

 

If you're not routed directly on the Export overview after logging in, copy the URL I have provided above and paste it again on the URL search box of IE.

 

Also, if it's not working out on your browser, please call support so that they can perform screen sharing to check what are the other workarounds.

There are times that QuickBooks page behaves unexpectedly. This is due to cache and temporary files stored on your browser. 

 

To help us confirm a browser-related issue, let's first use an incognito or a private window, then perform troubleshooting steps on your default browser. Here's how: 

 

  1. Launch your  Internet Explorer, then press Ctrl + Shift + P to open a private window. 
  2. Log in to your QuickBooks Online. 
  3. Verify if you're able to click the Gear icon without any error. 

 

If that works, fix your default browser by clearing its cache. Read through this article:  How to clear browser cache and temporary Internet files? This will also make your browser's loading time faster.

 

If you're still having the same issue, I'd recommend using another supported browser such as Google Chrome, Safari, or Mozilla Firefox.

I cannot open the gear in Internet Explorer I have cleared out all cache and browser history as recommended that did not work. So next I tried Chrome as was recommended (see below). I can open the gear in Chrome but the get this response.... You can use QuickBooks Online with any browser, but you can only export data from QuickBooks if you signed in from Internet Explorer. Please open Internet Explorer and sign in to QuickBooks Online before exporting your data. We apologize for the inconvenience.

I appreciate you for sharing the complete steps you've tried and warning messages you get when exporting the data from QuickBooks Online (QBO) to QuickBooks Desktop. Let's get this sorted out. 

 

Currently, Internet Explorer (IE) is the supported browser in QuickBooks Desktop. This is the reason you get a prompt to export data if you signed in from IE. However, this browser isn't supported in QBO. 

 

As my colleague MarsStephanieL said, you can use the following URL to initiate the download in Internet Explorer as a workaround: http://qbo.intuit.com/app/exportqbodatatoqbdt. Then, prepare to export your QuickBooks Online data by following the steps below: 

  1. Click the Get Started button in the Export Overview window. 
  2. Select Install under ActiveX Control Now.
  3. When it's finished, click Continue.
  4. Choose the data you want to export, then click Continue.
  5. Review the limitations and choose Continue.
  6. Enter your contact info and then click Continue.

Once done, refer to this article to complete the process. From there, go directly to Step 4: Finish exporting your dataExport your QuickBooks Online data to QuickBooks Desktop.

 

I also suggest visiting the Get QuickBooks Desktop user guides article. This will help provide additional guidance on how you can navigate the desktop version.

If the same error happens again, I'd recommend working with our QuickBooks Online Customer Support Team. They have extra tools, such as screen sharing, to dive deeper into this issue.

First, congratulations.  QBO is the worst software ever invented. Intuit has made it almost impossible to transfer books over now since they only let you do it on an antique browser.  There are work arounds but they are pure crap.  I transfer every person I can get to desktop...many per week.

The link you provided does not work. I am a proadvisor with 34 years experience that I have never ever encountered such a fiasco. I used to work for Intuit and I know what you pay your developers. There is no reason why they can't add the conversion to another browser. the fact that they are making people use an antique browser that is defunct to transfer their data from the horrible online to the much better program which is desktop is terrible. It is only giving into it a worst reputations and they already have. make good software treat your people well that is what's going to keep customers not forcing them to stay out of platform they don't want to be on.

Just went through this and here is the update.

There is only 64 bit Internet Explorer now even on my Windows 7 computer so I called tech support to ask if I was doomed? She said not at all, so it's updated from the first post of this thread. I have elite level tech support and the tech i got was great.

After trying it on the Windows 7 computer unsuccessfully she said Windows 10 usually does better, so we switched over to my Windows 10 computer. She was correct, it was more successful.

I have 24 years of this and there are too many steps for me to remember or think i can get right again, even though we ran through it 3 times (which took 3 hours by the way). It's a detailed and tricky process in my opinion. Until Intuit makes it easier i will call tech support for help. 

Plus it's still not correct. The P&L, acccural, All Dates, did not match the QB Online  P&L same parameters. 

On QB Tech notes it says if they don't match, "ask Intuit".
I have tech support privileges to have one database a year fixed, so I asked it for this one. The awesome tech asked her superiors and could not get permission. Intuit's response is, "there is nothing we can do. QB Desktop is not accepting the invoices."
Their solution is the following: You (me, the client) has to go through the income transactions detail line  by detail line, see where it doesn't match, and enter in the invoices that didn't convert, one by one, manually.

I propose that this is a bug that Intuit needs to fix. Blaming it on Desktop as if that software has a problem no one can fix is troublesome. You can't tell people, "our software doesn't work and too bad for you." Well, you can, but you leave a big opening in the world for someone new to take your business away from you.
