I’ll help make sure you’re able to print out your tax forms so you can mail them to IRS.

 

In QuickBooks Online Payroll (QBOP), you can print the federal quarterly tax forms, such as 941 and annual forms, such as 940 and 944. Here are the steps:

  1. Go to the Taxes tab from the left menu.
  2. In the Forms section Select Quarterly or Annual Forms.
  3. Click the 941 form link.
  4. Select Payroll Tax.
  5. Select the date range of the form.
  6. If you’ve setup e-services before, uncheck the File electronically box. If you haven’t enrolled for e-services, click the View button.
  7. On the ViewPdfForm page, click the Print icon at the right top.

 

Once the forms are printed, you can mail them to the correct filing address outlined on the IRS website. Here’s how:

  1. For 941, go to https://www.irs.gov/filing/where-to-file-your-taxes-for-form-941. For 940, go to https://www.irs.gov/filing/where-to-file-your-taxes-for-form-940. For 944, go to https://www.irs.gov/filing/where-to-file-your-taxes-for-form-944.
  2. Find your state location.
  3. You can choose to mail the form with or without payment to the appropriate filing address.

 

If you want to print the W-2 forms for your employees, you can perform the steps below:

  1. Go to the Taxes tab from the left menu.
  2. Select Payroll Tax.
  3. In the Forms section, select the Annual Forms link.
  4. Select either All Employees or a specific employee name from the drop-down menu provided.
  5. Select the W-2, Copies B, C & 2 link. It takes you to the Printable Employee Copies: Form W-2 page.
  6. Choose the appropriate period from the drop-down menu.
  7. Select View to launch Adobe Reader in a new window.
  8. Select the Print icon on the Reader toolbar.
  9. Click Print again.

Are there any printing regulations for payroll tax forms?  Does the IRS accept plain copy paper?

In QuickBooks, users are encouraged to e-file their payroll tax forms. Let me add more details about this.

 

But if you prefer to print your W-2 forms, you’ll need to use a blank or perforated paper, or the preprinted W-2 forms.

 

As for other IRS tax forms, you can print them on a white blank paper.
