Is there a way to print the Account Names on the check voucher when printing from QB? There seems to be space for it, even though an account is selected on line entry.

Hi istrator,

 

If you'd want to print the bank account name on the check, it's currently not available. You'll need to use the pre-printed QuickBooks compatible voucher. If you don't have the voucher, you can purchase it directly from your bank or from us. Please go over this article for more information: Order Checks, Tax Forms, and Other Supplies.

 

Otherwise, you can enter the account name (expense accounts) in the Memo field when creating a check. The notes in that field will show when printing the check. 

 

Please post your questions if you need anything else.

Is this just an informal statement how what to use when printing checks, because it follows "not available"?

 

Is there any feature request for this?  I am using QB for a church and the check need to be double signed.  The second signer wants to know what account this is being expended for and manually having to enter the account information into a memo is a lot of unnecessary work(considering the data is already available in QB)

I am so confused.  I already have checks with blank areas for the data.  How is buying a check through QB going to give me the option to add data to a check?  Are you saying you have to buy check from Quickbooks and then they unlock the option in your account to print account names?

I think there is some confusion about what I am asking.  Image should illustrate what I want to print and currently does not print.  The COA account name

Thanks for getting back to the Community and providing us with additional details about the issue, @bbchapel,

 

Allow me to chime into this conversation.

 

You can print the Chart of Accounts register name on your QBO voucher checks. You'll only need to ensure you're using the Voucher check style to get this option available on your checks. Since you're unable to do so, let's check your printer setup to make sure the correct style is selected. Let me guide you how.

 

  1. Open your check transaction.
  2. Select the Print check option.
  3. Select Print setup.
  4. Make sure Voucher is selected under Select the type of checks you use.
  5. Click Yes, I'm finished with setup.
  6. Choose Preview and print. The account name on the check should appear on the Print preview page.
  7. Click Print.

 

That should point you on the right track, @bbchapel. If you're getting the same issue after following the steps above, I'd recommend trying the process on a new or private browser. Unexpected issues with QuickBooks Online are sometimes caused by the large data on your cache. Use these keyboard shortcuts to open a new browser:

  • Google Chrome: press Ctrl Shift N
  • Mozilla Firefox: press Ctrl Shift P
  • Internet Explorer: press Ctrl Shift P
  • Safari: press Command Shift N

If you're no longer getting the same result in the incognito window, you can switch back to regular browsing and clear your browser's cache.

I had previously had this setup as a voucher.  I opened an incognito window and it didn't make a difference.  Is there some setting that controls this, or there some internal issue going on?

Allow me to add additional information about the issue.

 

As stated in my answer above, you can only print the Bank Account name used for your check transactions. However, if you’re referring to printing the Expense accounts listed under the Account details section, this is currently a limitation for voucher checks printing. (Please see attached screenshot.)

 

 

The automation to add these expense accounts to printed checks isn’t yet available in QuickBooks Online. What you can do is to follow @GarlynGay’s suggestion to add them in the Memo field so your clients will be able to view what is being expended for.

 

This feature, however, is a great idea we can add in QuickBooks Online so I'd recommend sending your preference to our developers. This helps them understand where we can improve and what features should be added so we can better serve you. Here’s how to add your request:

  1. Go to the Gear icon.
  2. Choose Feedback from the drop-down.
  3. Enter your Comments, Suggestions or Feedbacks.
  4. Choose Next.
  5. Select a category.
  6. Click Send message.

I would like to print the expense account on the check vouches in Non Profit desktop version. Could you please direct me as to how to do so.

Hi there, LSE.

 

You'll have to set up the check settings to display the account names by following these steps:

  1. Click Edit located at the top.
  2. Choose Preferences.
  3. On the left menu, click Checking.
  4. Click the Company Preferences tab.
  5. Check the Print account names on voucher box.
  6. Click OK.

Once done, try printing the check voucher.

Great that gave me the bank account to appear on the voucher. Now, is there a way to get the expense account that the payment will come from to appear on the voucher as well?

Right now, the option to add expense accounts on a voucher is unavailable. I want our Product Developers to know about what works best for your business.

 

That said, I recommend sending your ideas by following these steps:

 

  1. Click the Help tab at the top menu bar.
  2. Select Send Feedback Online.
  3. Click Product Suggestion.

I've been trying to get our COA #'s to print on our Bill Pay Check vouchers as well. It would be extremely helpful. How will we know if/when this is an option?

Does this mean if you DON'T use a voucher check, you CAN print the Expense account name?

Yes

Go to the top of your QuickBooks screen and click on edit, then choose preferences. Then click on the checking icon on the left side of the screen. There will be 2 tabs one for My Preferences and the other will be company preferences. Under Company preferences there is a check box for print account names on voucher. Then click OK button to save.

I'm using QB Desktop Pro 2017 and I have the opposite problem. I would like the account name to NOT appear on my check vouchers. I've unchecked the "Print account names on voucher" box in Edit > Preferences > Checking > Company Preferences but the account name still prints. What the heck?

Thanks for posting your concern here in the Community. I'm here to help ensure you're able to print the voucher check correctly, and so you can get back to your business right away. 

 

To resolve this problem, let's process troubleshooting by downloading and running the PDF & Print Repair tool. But first, let's make sure that your Adobe Reader is updated and your QuickBooks Desktop is on the latest release

 

Here's how to update your Adobe Reader:

  1. Open your Adobe Reader.
  2. Go to Help and click on Check for updates.
  3. Follow the onscreen instruction in the Updater window to install latest updates. 

Once done, please follow the recommended troubleshooting steps in this article: Troubleshoot PDF and Print problems with QuickBooks Desktop

 

If you need further assistance with the steps, I recommend contacting our QuickBooks Desktop Support Team. They have additional tools to pull up your account and do a remote session. 

 

Here's how to contact our technical support:

  1. Select QuickBooks Desktop Help from the Help menu.
  2. You can also press F1 on your keyboard to bring up the same Help Panel

  4. Click Continue.
