QB 2016 R32 Mac - IIF Import Error You cannot record a negative deposit

I use Intuit Online Payroll and export transactions to IIF files. Never had a problem importing until R32 version. I now get Warning message "You cannot record a negative deposit".

The import fails. Again, never an issue before. Prior IIF files are same exact format.

How do I fix this so I can import data??

Hi there, CostaBellaHomes.

Thanks for letting us know. I'm here to help isolate this error so you can import QuickBooks Mac successfully and get back to your business right away.

This error occurs once your QuickBooks file is damaged. To resolve this, you'll need to verify and rebuild the data in QuickBooks Mac . Let me walk you through the steps:

  1. In your QuickBooks for Mac file, select File.
  2. Go to Utilities
  3. Select Verify Data.
  4. QuickBooks will check the file for damage and notify you if it finds any. If errors are found, continue with the next step.
  5. Select File.
  6. Go to Utilities.
  7. Click Rebuild Data.
  8. Once the Rebuild is complete, try importing your data once again.

Thank you so much, that solved the problem. Haven't done a Verify and Rebuild in quite a while, glad it fixed the import issue.

Unrelated but quick question: are you able to use QB for Mac 2016 on the Mojave OSX?

I am currently using QB for Mac 2016 on El Capitan and I want to upgrade to Mojave but I can't find anywhere that it's compatible.

Thank you!

Hello Jack,

Yes, you can use the Mojave OSX as long as your QuickBooks for Mac 2016 Release version is R6 or later. Check out this article for more information: System Requirements for QuickBooks 2016.

Once you install QuickBooks, you'll want update the release version to make it compatible with your new operating system.

  1. Go to this page: Download QuickBooks Desktop.
  2. Select your Country (United States), Product (QuickBooks Mac Desktop), and Version (2016).
  3. Select the Search button and click Get the latest updates hyperlink.
  4. Double-click the downloaded file to install the update.
  5. Restart your computer after the installation.

You can also use this article for reference: Update QuickBooks Desktop to the Latest Release.

Let me know if you need anything else. Happy holiday!

QB 2016 R32 Mac - IIF Import Error You cannot record a negative deposit

I have QB 2020. I can't import payroll and after 2 weeks trying to fix it I found this. I've tried it twice and it says  an error occurred and to post in Community. Any ideas on where to go if this doesn't work? Quickbooks is not really into taking calls. TY

Hi there, @Ovaltine.

I hope your week is going well so far. I'd be glad to provide you with information about receiving an error message when trying to export your payroll.

To give you the best resolution, I'll need to gather some additional information from you.

  • Could you provide me with a screenshot of the error message you're receiving?
  • Are you using Online Payroll?

Also, when you're exporting your Payroll to your account, be sure to do the following as well:

  • Be sure to use Internet Explorer 7 or higher.
  • Intuit as a trusted site (*.intuit.com).
  • Review the Active X settings to make sure you didn't miss anything.

For now, if you're using Online Payroll you can follow the detailed article that my colleague @JanyRoseB provided. It has steps for different error messages that you're receiving and also troubleshooting steps for exporting for QuickBooks Desktop for Mac.

Here's the link to the article provided above: QuickBooks Desktop export troubleshooting (Mac, IIF, & One-Click)

I look forward to your reply and chatting with you soon. Have a good rest of your day!
