Good morning, @mercer440.

 

It's time to get this error message resolved.

 

When receiving this error message, this means there's an employee on a check, transaction, etc., that needs to be marked as inactive. Let's go ahead and run an Uninvoiced Charges report and it will show the report name as Unbilled Charges to check if the employee is used in one of the transactions. Here's how:

  1. Select the Reports tab on left menu.
  2. Search for the Uninvoiced Charges report.
  3. On the report, check if there's an employee in one of the transactions.
  4. Click on the transaction to open it.
  5. Uncheck the Billable box.
  6. Choose Save and Close.

That report does not appear on the report list when I go to my client's reports. Is there another way to access information?

You can also run the Time Activities by Employee Detail report, @TMAcct

 

This will show all unbilled time tracking activities or unbilled charges. Here’s how to run this report:

 

  1. Go to your Reports menu and search for Time Activities by Employee Detail.
  2. In the Time Activity Date field, select All Dates and then Run Report.
  3. Click on any line that has a Yes in the Billable
  4. Clear the Bill checkbox on the Single Activity Time Sheet and click Save.

After saving the changes, you’ll be routed back to the report. Then, repeat steps 4 and 5 for every line that says billable. Here’s more information about running payroll reports.

This report is not available on the client's Quickbooks reports either. The business recently downgraded their Quickbooks account to Simple Start, so these reports are not available.

Currently, the employees' report is not available in QuickBooks Online Simple Start version. However, you can open the timesheets to check if the employee is included in that transaction. I’d be glad to show you the steps below.

 

Here’s how:

 

  1. Go to the Reports tab.
  2. Type in the search box, “Transaction list by Date.”

  3. Click on the Customize button.
  4. In the Filter section, tick the Transaction Type.
  5. Select Time Charge.
  6. Click Run Report.

You can modify the Report period and filter the Group, then select Run Report again. (See screenshot below)

I'm receiving an error code "Business validation error:This employee cannot be deleted because it is used in unbilled charges" I am just setting up my online account.

What do you mean by check to see if an employee is used on one of the transactions.  What am I clicking on?  Where is the billable that needs to be unchecked?  Where would I see the employees name?  I have a long list of charges.  I have attached a screen shot of what I see.

If you are subscribed to the QuickBooks Online Simple Start or Essentials, then you'll want to upgrade to a higher plan to view the report and get the information you need. 

 

Here are the steps:

 

  1. Go to the Gear > Account and Settings.
  2. On the left panel, select Billing & Subscription.
  3. Click the Upgrade your plan link and follow the on-screen instructions to upgrade.
