Hello there, michelle15.
I appreciate you for reaching out here in the Community. I'm here to help provide information about what I know with usage limits in QuickBooks Online.
The calculation of usage limits for Chart of Accounts will include active and inactive accounts. You can run the Account List report to check the number of accounts you currently have.
For more information about the usage limits, I'm adding the article I recommend below:
Please get in touch with me here should you need further assistance with the number of accounts. I'll keep an eye out on your response.
THIS IS A RATE HIKE. Please consider increasing Essentials and Plus accounts to 500. 250 is a joke. Also a joke is your generous discount of 60% for 3 months.
QBO you are trying to put bookkeeper OUT OF BUSINESS when are your in field sales reps.
Thank you for sharing your thoughts with the Community, @lindsaydavis44.
This is not a price increase, as a user isn't required to pay any more money unless they want to use additional product functionality. If a person is in excess of any limits then they are in the top 5% usage of QuickBooks Online Users in the United States.
Should you be above a usage limit – you will still be able to run your business as normal. However, you won’t be able to add a new entity in that area. For example, if a user has 251 accounts in their Chart of Accounts, they will be unable to add a new account, as 250 is the limit. They would need to remove 2 accounts to get to 249 accounts before the new account could be added. This has been looked at by some as an opportunity to clean up the books and remove items that aren't being used.
I can assure you that bookkeepers and accountants are some of the most valuable members of the QuickBooks family. For additional information on usage limits, I recommended the following article: What are Usage Limits in QuickBooks Online?.
Please feel free to let me know if you should have any questions about this or anything else. Have a good day.
This is absolutely a rate hike. I have spent years convincing my clients to switch to QBO, now I (not QBO) have to explain that QBO has jacked up rates and they now have to pay MORE THAN DOUBLE for useless "new features".
I am forced to move my clients back to desktop or explore Xero.
I want to take the time to thank Intuit for making me (not QBO) look like the bad guy. Intuit does not care about their users. Remember the fiasco you created with the W2s? I do. I am still upset about that. You have once again put me in a bad situation.
Please consider increasing the accounts to 500. 250 is not enough to do decent accounting.
Hello again, @lindsaydavis44.
Businesses, along with their needs, are constantly changing and QuickBooks wants to ensure that they have the tools to meet their benchmarks. So that QuickBooks is able to do this, there has been revisions made to match the capabilities of the products.
Generally, a large number of Users, a large Chart of Accounts, and high usage of Classes and Locations are all indicators of a more complex business. QuickBooks Online Advanced is designed to help these styles of businesses with features, such as Accelerated Invoicing and Smart Reporting powered by Fathom. Should you or your client have any questions about this option, I recommend the following article: QuickBooks Online Advanced Overview.
I'm just a click away if I can be of additional assistance. Best regards.
There is nothing big about the QBO Advanced Subscription other than the difference from $720 to $1800 per year. The $1080.00 difference just gives you the features that the QBO Plus Subscription provided to me for many many years, unlimited Charts of Accounts and unlimited Classes. That's it.
Intuit Quickbooks wants their client base to believe what you just posted, it is not true, the reality is Intuit Quickbooks has stolen the features they sold to me in the QBO Plus subscription and now are blackmailing me that in order to continue to run my business unfortunately I have to turn over $1800 to Intuit or my business accounting collapses. So Far Intuit has not explained why they are getting away with that.
Thanks for joining the thread, @Upset User.
As I mentioned in my post above, QuickBooks Online Advanced is a new and powerful product that's designed for growing companies. While unlimited classes and accounts are one feature of the software, there are many other benefits.
One feature is the ability to have up to 25 users with full and simultaneous access. Additionally, there are enhanced user access options to help ensure that information and privileges are only available to those that need access.
The Smart Reporting powered by Fathom provides increased analysis of a company, such as profitability and cash flow. In a society that's increasingly driven by data and metrics, this can help to give businesses an edge.
Time is one of the most valuable commodities that a person has and membership in Priority Circle helps to get you back to business faster. An Advanced account receives a Customer Success Manager (CSM) that will serve as a point of contact to direct you to support, training and product recommendations. This is in addition to other features, such as premium training and being routed to the front of the line when you need technical support.
Everyone enjoys that feeling of getting paid, however, at times invoicing can feel overwhelming. This software offers accelerated invoicing to speed this process up, such as being able to upload a file and import hundreds of invoices at once.
For additional insight on this product, I suggest the following article: QuickBooks Online Advanced Overview. Additionally, you can use the Sample Company for Advanced try out the software which can be accessed at the following link: QuickBooks Online Advanced Test Drive.
Please consider changing your usage limits for accounts from 250 to 500 and you will have happier users.
For the record, anyone can get a Fathom account starting at $39 per month. Using a Fathom membership to validate your rate hike does not help your case.
Again, lease consider changing your usage limits for accounts from 250 to 500.
Let's see how many small business here get excited about what you just posted... 25 simultaneous users... wow? Who cares! [removed by moderator] All those "wonderful" features you think this product has are only to benefit Intuit, not their client base.
What we really want are the features Intuit advertised and sold to us with the QBO Plus subscription: unlimited Charts of Accounts and unlimited Classes. They have now been ripped away from the product I've purchased and given to this Advance subscription and almost tripling our cost, from $720 to $1800 per year. Shame on you Intuit!
Yes, you are right, this is ridiculous !!!
We are still waiting to hear from an official Intuit Quickbooks employee, not from the nice Filipino Virtual Assistants to explain why effective April 10, 2019, Intuit has amputated 2 features from all of their QBO Plus $60.00 per month Subscription client base, without issuing any credits to us.
INTUIT, please listen to your users and consider increasing your proposed usage limits from 250 to at least 500. Your additional benefits listed for the Advanced subscription are not adding up. You are more than doubling your fee for a $39 Fathom subscription and faster phone support.
Again, please reconsider increasing your proposed usage limits.
Hi there, lindsaydavis44.
Thanks for following up here. I appreciate your input.
I will be sure to pass along your feedback to the engineers and Product Development Team for review.
I'll be here if you have any other questions.
Another unhappy user.
We are a scout troop and use QB online to manage our finances. This is not a complex company. We need separate income and expense categories for each outing (ie camping trip, day trip, summer camp) that we do. I have many years of data, and it would be really difficult to start deleting accounts. There's no way we can afford $60/month for Advanced.
We went from using the desktop version to Online 5 years ago in order to have transparency and auditing.
This is going to be a huge problem for us. Honestly the only answer will be to find something else if the limit for Essentials isn't raised to 500.
@judyb1 I too manage a scout troop on QBO. I would recommend using classes instead of GL accounts for things like summer camp, monthly camps, annual fundraisers, etc. With a combined limit of 40 for classes & locations, that should be enough to accommodate the various activities in any given year. Done this way, a P&L by class is easier to read than one that has separate GL accounts for these activities anyway, IMO.
Remember if you use CLASSES, you have to pay INTUIT $1800 per year starting APRIL 10, 2019. They RIPPED OFF that feature from the product I've purchased with that feature, but as it seems they are getting away with this...
250 is actually not many accounts. For each depreciable asset QBO creates 3 accounts: the asset, the original cost and the accumulated depreciation. QBO should count these as 1 account, not 3 accounts.
We manage real estate, it's easy to hit 250 accounts just in depreciable assets and before even getting to expenses. This is really a deal breaker.
20 some accounts that are default in QBO
30 more accounts which are required for a property and business: mortgage principle, escrow, land, property taxes, interest, bank account, business license fee, tenant security deposit, insurance, credit card, etc. Then if you manage just 6 rental units (and with that few rentals most likely you don't need QB) and each unit has 10 depreciable items (60 x 3 accounts each) that adds another 180 accounts. Depreciable items like windows, carpet, kitchen, appliances, electrical, fence, HVAC, etc
So now you're already at 230 accounts and the expenses haven't even been accounted for. Sure, we could consolidate multiple accounts. For example, use a bloated "repairs account" to reduce the number of accounts, but that defeats the reason we came to QBO in the first place. We wanted granular visibility into the business to spot areas that needed addressing. For example are there a significant amount of plumbing repairs in one building, did landscaping costs shoot up at another?
250 accounts is not reasonable number to track these things. Please either increase this number or allow the asset accounts to be counted as 1.
Intuit knows all of this, they are bidding on us to see who upgrades to their QBO Advance $1800 x year version of their product, they calculated that the ones that manager a larger number of properties will probably pay the $1800 per year for the advanced version that allows unlimited charts of accounts and unlimited classes, just because the selection of other accounting software systems out there are not this complete. They are just blood suckers.
If you search all the many posts about this subject, the Filipino Virtual Assistants that INTUIT hired to run this board keep doing copy and paste answers, to push upgrading to the new Advanced subscription.
When I purchased the QBO PLUS subscription at $720 per year, was because they advertised the PLUS Subscription had UNLIMITED charts of accounts and UNLIMITED Classes; CROOKED INTUIT is playing the same game again.
Sadly I think they will probably win the battle, and they know it.
I appreciate you following up.
After much planning and consideration, Inuit has decided to implement the new usage limits to the Simple Start, Essentials, and Plus versions of QuickBooks Online. Large amounts of Accounts, Classes/Locations, and Users indicate a more complex company. The limits are in place to ensure that you're using the best version of QBO that complements your business and makes your work even more efficient. If you need more than the allotted amounts in these areas, QBO Advanced would be the best fit.
I have submitted your feedback to the Development Team to let them know about the changes you'd like to see.
I'll be here if you have any other questions.
I purchased the QBO PLUS subscription at $720 per year because CROOKED INTUIT advertised that if I upgraded to the PLUS Subscription I would have UNLIMITED charts of accounts and UNLIMITED Classes; CROOKED INTUIT is now stealing a feature they already sold to me. Why is CROOKED INTUIT playing the same game again?
