We activated the Payroll Service last week and have discovered we used the wrong Federal Tax ID number.  Need to change it.  How do I do this.

Payroll service

Hello there, @bbriese2018.

Thank you for posting in the Community. I'd be happy to help share some insights on how to change the Federal Tax ID number of your payroll service.

It's important to have the correct the Federal Employer Identification Number (EIN) in your account because it identifies your business when you submit your tax forms and payments to the IRS. It also used to validate your payroll service subscription.

Let me show you how to change your EIN:

For QuickBooks Desktop Payroll:

  1. From the Company menu, select My Company
  2. In the COMPANY INFORMATION section, click the Pencil icon at the top right.
  3. On the left pane, select the Company Identification tab.
  4. In the Federal Employer Identification No. field, enter the new EIN.
  5. Click OK.
  6. When prompted, choose skip. This will take you to the Account Maintenance pages.
  7. If asked, log in using your Intuit credentials.
  8. Once logged in, update the EIN under Company Information section.
  9. Log out.

I've also included this article for additional reference: Update your Federal Employer Identification Number.

After that, I recommend reaching out to our payroll support to make sure you're service key is correct. However, if you set up direct deposit, you need to reach out to them directly to update the EIN for you.

Here's how you can reach them:

  1. Go to: https://payroll.intuit.com/support/contact/?infosrc=qs&service=16.
  2. At the top right, select your Payroll Subscription type.
  3. Click Payroll.
  4. Click on the View Contact Info button to get their contact number.

For Online Payroll Subscription:

To start, if the electronic service is activated, you'll need to turn it off on your account to avoid any errors when changing the EIN. The following article contains the detailed steps: Update incorrect Federal EIN.

Please take note that you'll need to reactivate the electronic service feature after changing your EIN. It'll be activated in one to three banking days from the time we process your authorization forms.

For additional help, feel free to reach out to our Payroll Specialists. They have the tools that can access your account and update the EIN to get you back in business.

These resources should help to get you on the right track for changing your EIN.

Drop me a comment below if you have any other questions about updating it or if you have any other questions about payroll. I'll be happy to help you out. Have a great day ahead.

We have gone through the steps to update our EIN in Quickbooks Desktop and with the Intuit Payroll Service. The new EIN shows up everywhere except on the memo line of our Payroll Liability Check. How do we change it there?

Thanks for getting back to us, @jcdistrict.

Allow me to jump in for a moment and help make sure your new EIN will show on the Payroll Liability Check in QuickBooks Desktop (QBDT).

First of all, I appreciate you following the steps provided by my colleague. To ensure your payroll has accurate information, let's download the latest payroll tax table. Here's how:

1. Go to Employees menu at the top and pick Get Payroll Updates on the drop-down.
2. Select Download Entire Update, then click the Update button.

For your reference, you can also check out this article for more information: Download the latest payroll tax table. Once the update is complete, open the Payroll Liability Check on the Payroll Center to double-check.

That's it! Please let me know how it goes or if I can be of additional assistance. I'm always here to help you out. Take care and have a great day!
