QB 19 Pro does not see mapped drive in open company dialog

I do work for a CPA firm, so they have 5 different versions of QB on 10 different PCs and they usually work OK. But I have one lady there who's 2019 QP Pro will not see a mapped drive letter when trying to open a company. The mapped drive shows fine outside of QB. It also shows fine if I log in to the PC as a different user, but when logged in as her it does not show. I have completely removed and reinstalled 2019 with no luck. Any ideas?

The user access might have been damaged, MBMiller.

 

Let's create a new user profile in QuickBooks to resolve this. Here's how:

  1. Click Company on the menu.
  2. Select Set Up Users and Password, then click Set up Users.
  3. Select Add User...
  4. Fill out the User NamePassword, and Confirm Password fields, then select Next.
  5. On the Access for user: (username) window, choose which area of QuickBooks the user has access to, then select Next.
    • If you choose Selected areas of QuickBooks, you can customize the restrictions for different areas of the company file for the newly created user by selecting No AccessFull Access, or Selective Access.
  6. Select Finish.

Thank you, but this is not specific to one company file. They have hundreds of company files on their server. She needs to be able to browse to an open any of them.

I suggest creating a folder specifically for the company files, make sure that it's in a shared drive. Then move to the local computers and create a mapped drive to the folder created, and then you can access all your files in one place.

Again, thanks but I don't think you understand what I am saying.

 

We have a Windows 2012 server. All the QB company files are on a shared folder on that server. 10 people access those files though a mapped Q drive. On one persons QB, when she tries to open a company file, the open file dialog does not show the Q drive. Windows explorer outside of QB shows the drive fine. If I login to her computer as a different user, the Q drive shows in QB, so it is something specific to her user profile that is not working.

You'll need to check the user's permission to access the shared company file to see if it's set up correctly.

 

To do that:

  1. Right-click the folder that contains the company file and select Properties.
  2. Refer to the Security tab.
  3. Click on Advanced.
  4. Hit QBDataServiceUserXX and choose Edit.

Make sure that the following settings are set to Allowed:

  • Traverse Folder/Execute File
  • List Folder/Read Data
  • Read Attributes
  • Read Extended Attributes
  • Create Files/Write Data
  • Create Folders/Append Data
  • Write Attributes
  • Write Extended Attributes
  • Read Permissions

If your permissions aren’t set accurately, perform these steps to fix it:

  1. Right-click the folder that contains the company file and select Properties.
  2. Select Security, then Edit.
  3. Choose QBDataServiceUserXX and click Full Control, then Allow.
  4. Hit on Apply, then OK.

In order to get this working, I had to create a new Windows user profile for the user. Something buried deep in the user profile was causing this. I did the full clean install thing and that did not fix it. The problem had nothing to do with file permissions.

This problem had nothing to do with file permissions in Windows I was finally able to solve it by renaming her windows profile folder and letting Windows create a new profile when she logged back on. So, any idea what may have caused this?

It's possible that the Windows user profile was corrupted due to the following:

  • A force shutdown.
  • Hardware problems like bad memory or hard drive failure.
  • Antivirus software is scanning their computer while they try to log on.
  • Malware infection.
  • The file system of hard drive is damaged because of disk write errors, power outages or virus attacks.
  • Failed Windows Update or Automatic Updates.
