Upgrade QB Pro Desktop 2016 to QB Pro Desktop 2019

I have a client who is using QB Pro Desktop 2016, and they have been told that if they upgrade to QB Pro 2019 they will need to start a new company file and will not be able to access previous transactions in the new file.  The recommendation is that they upgrade to Enterprise instead which is a much more expensive upgrade and - in my opinion - unnecessary.  Question, can a company file from the 2016 version be upgraded to 2019 with integrity?  If so, why would the QB rep tell my client they would not be able to upgrade the file?  I have used QB for twenty years, and this has never been the case.

You can access your 2016 company file with the 2019 QuickBooks Desktop version. I'm here to share a few insights and help you from there.

 

To start with, you can absolutely use and access your company file in 2016 with the new 2019 version. It doesn't necessarily require you to create a new company file.

That being said, you'll have to create a complete backup copy of your company file. Let me show you how:

  1. Go to File.
  2. Select Backup Company.
  3. Click Create Local Backup.
  4. Choose Local Backup.
  5. Select Next.
  6. Click OK.

In addition, here's an article you can read to learn more about creating a backup copy of your company file: Create Backup of the QuickBooks Desktop Company File.

 

Once you've completely created the backup copy, you can now update to the latest 2019 version. From there you can restore the backup copy of your company file and access your account successfully.

I've just upgraded from 2016 to 2019 and Im having problems accessing my prior check register for online transactions.  This is the error message I get in screen cap.

Helping you access your prior check register is quick and easy. Let me show you how to get started.

 

I appreciate the screenshot you've provided. To be able to access your prior check register in QuickBooks Desktop 2019, you'll need to set this up again on your new software. Afterward, you can import the transactions so they become available in your Bank Feeds.

 

Here's how:

 

  1. From the QuickBooks File menu, select Utilities then Import and then Web Connect Files.
  2. Select the QBO file you saved, then select Open.
  3. When prompted to Select Bank Account, select:
    • Use an existing QuickBooks account if the account you are importing the transactions into is already set up in QuickBooks.
    • Create a new QuickBooks account if the account you are importing the transactions into is not yet in QuickBooks. Type a name.
  4. Select Continue. You should see a dialogue box telling you that the data has been successfully read into QuickBooks. Select OK.
  5. Go to the Bank Feeds Center to review your transactions.

The problem is, it want to select use an existing account but its not "finding" the account.  It wont give me the option of selecting the previous account.

My situation is a little different. I've had QB Pro 2016 on my laptop, but on 10/2/19, I was unable to open it.  So I purchased 2019, but when I try to install it, it says QB is already running.  Of course, it's not, because it won't open.  Can you please help?  Thanks.

hi @Li33 ,

Prior to install QuickBooks 2019, close your QuickBooks 2016. To make sure of it, press CRTL + ALT + DEL and pick the Task Manager.

 

If the error still persists, install the trial of QuickBooks 2020.

Hi Li33,

 

We can open the Task Manager and end the processes that are running with .EXE filenames. Let me guide you how.

  1. Right-click the Windows Task Bar and select Task Manager
  2. Go to the Processes tab.
  3. Select the Name column header to sort the list.
  4. Select the following processes and then End Process for .EXE.
  5. Click Yes if you see the message, "WARNING: Terminating a process can cause undersired results"

 

However, you can run the QuickBooks Install Diagnostic Tool to fix any installation issues if you're still unable to open QuickBooks 2019. Here's how:

 

  1. Download the QuickBooks Install DiagnosticTool.
  2. When prompted, save the file to the local Desktop.
  3. Close any open programs, then run the QBInstall Tool.Note: It may take up to 20 minutes to complete, depending on your internet speed and computers' performance.
  4. Restart the computer after running the tool to ensure the components are properly updated.

Unfortunately, they are not open on weekends. :(  Which is pretty useless for me due to my work schedule.

 

I'm basically going to have to start over.  I have to redo everything from may.  What I need to know is in 2019, when I try to import banking details, it wont let me import to the old register - it requires that I use a new register.  Help?

With regards to the importing of bank transactions, it’s possible you’re old register is still connected to bank feeds feature. That’s why you’re prompted to use a new one.


If it’s not connected to online banking but, you’re still getting the same error, then let’s check to see if this issue is caused by a damaged file.

 

Let’s open a new company file, then try importing your bank transactions again.


If you can successfully import using the new company file, then let’s do verify and rebuild steps.

I went ahead and did the verify which found errors and then I did rebuild which continued with errors.

When I try to follow the link to contact support, I get sent to the F1 button again within the program which as I posted earlier, shows support is closed on weekends.

When I try to see the details of the error, this is what it says:

Nothing has change don my bank account - the ONLY change has been the upgrade on quickbooks which I did end of April.  However, since then I have been importing fine until this month (although as I mentioned I did have to create a new register)  Now my desktop file is crashing and I am unable to reconcile the checkbook because its two different ones.

hi @Hap2go ,

Your file may be damaged. You need to ask Intuit Data Service to repair it. But if you need to resolve  it urgently, consider purchasing a 3rd party data recovery service. I notice their priority service during weekend is $450. Just my 2 cents.
