You must sign in to QuickBooks with the administrator's credentials. You'll need the user I'd & password of the administrator.

I have the password but it doesnt work, it asks for id number and I don't know what that is. I am a single owner small business.

Thanks for checking in with us. I want to make sure this is taken care of.

 

When you login to your QuickBooks Desktop as the Master Administrator, it doesn't ask for an ID number. You only need to have a user name and a password.

 

However, if you mean logging into your Bank Feeds, you'll need to get in touch with you Financial Institution to ask for your ID number.

QuickBooks requires you to change the password every 90 days. QuickBooks prompts you to change your password near the end of the 90 days as well as on the expiration date itself.

 

If you're referring to the password used on your QuickBooks Desktop company file. I'll be glad to help you reset your password successfully.

 

Here's how:

  1. Sign in as the admin user.
  2. Go to Company, select Set Up Users and Passwords. Then select Set Up Users.
  3. If prompted, enter the admin password again.
  4. In the User List, select the user that needs to change their password. Then select Edit User.
  5. Enter a new password.
  6. Select Next twice, then select Finish.

I have another workaround that we can do, ianpo. 

 

Let's use the Automated Password Reset Tool that can also help us reset the password.

 

Let me show you how: 

  1. Open this link and download the Automated password tool for QuickBooks Desktop
  2. Click QuickBooks for Widnows (All versions).
  3. Select the version. 
  4. Enter your Business information and click Next. Let's make sure the details entered are the same with what's in your company file. 
  5. Accept the Service agreement
  6. The Automated Password Reset tool will automatically download. 
  7. Run the downloaded tool and then enter the token number received through email. 
  8. Select your QuickBooks version from the QuickBooks Desktop Products drop-down.
  9. Click Browse for Company File and choose the correct company file you want to rest the password for. 
  10. Enter the Company File Admin User Name and your new Password. Reenter it to confirm. 
  11. Select Reset Password to complete. 

Once logged in you can now manage your company file. You can check this article that will help you troubleshoot the steps I provided when prompted with messages: Use the Automated Password Reset Tool for QuickBooks Desktop

 

I also suggest reaching out to us if you still can't reset and log in to your company file. Here's how: 

  1. Click this link: https://help.quickbooks.intuit.com/en_US/contact
  2. Select QuickBooks Desktop and Continue as a guest
  3. Select your version. 
  4. Click Account Management and scroll down to the page to get the phone number

The Administrator to our QuickBooks account has forgotten the password.  She also retired on Friday.  She left the Administrator's Credentials, but I cannot seem to get in.  She has tried multiple passwords and cannot access the account.  Also before she left, we purchased the QB Desktop Pro.  Our IT company has installed it.  We cannot get the files to upload to the new software.  Please help.  We need our accounts!!

If you can't log in to your Company file even using the Administrator credentials, I suggest resetting the password on your end.

 

Here's how:

  1. Open the Company file.
  2. Select I forgot my password.
  3. Follow the on-screen instruction for resetting your password.

If you still encounter the same thing, you can use the Automated Password Reset Tool instead. 

 

Also, in QuickBooks Desktop the Administrator of the company have the option to reset a user password. Refer to the steps below:

  1. Sign in as the admin user.
  2. Go to Company, choose Set Up Users and Passwords. Then click Set Up Users.
  3. If prompted, enter the admin password again.
  4. In the User List, pick the user that needs to change their password. Then hit Edit User.
  5. Enter a new password.
  6. Tick Next twice, then click Finish.
