Upgrading from QB Desktops to QB Enterprise Suite (network)

Hi, Our firm uses a combination of QB2017 and 2018 desktop softwares. As the data created by a QB is unable to be shared to other users, we are considering to upgrade to the network version. Is Enterprise Suite the only network version ? We would like to know more about the Enterprise Suite network version. Does this version mean : : The Enterprise Suite is installed at the server. : The server environment or configuration setup requirement ? : Is it correct that we need to purchase an Enterprise Suite licence for the server and a set number of client licences for the users computer ? : Users will have the QB "client" installed at their computer. : The QB data is stored at the Suite and can be accessed or shared over the network to the users ? : Is data conversion needed when transferring, say a QB2017 QBB file to Enterprise Suite All in all, we would like to streamline the QB setup for our users. Any other details or setup or costs I need to consider before submitting my upgrade proposal ? Thank you very much in advance, Mike_eas

Thanks for your interest in upgrading to QuickBooks Enterprise, mike_eas.

 

The multi-user or network environment setup also works for QuickBooks Premier and Pro version. You can have up to 5 users for Premier, 3 users for Pro version, and a maximum of 30 users for Enterprise Solutions to work in a company file simultaneously.

On the other hand, Intuit offers QuickBooks Desktop Enterprise with Hosting. It means the software and data are stored (hosted) on an enterprise-level web server rather than via local network. It also allows all users to access the file from any device such as Mac, PC, or tablet.

For your case, actually you have two options:

First option, if you only need maximum 5 concurrent users, you can purchase additional seat to your current license of QuickBooks 2018 Premier edition. Or if your current license is Pro 2018, you can only purchase additional seat for up to 3 concurrent users. Additional seat is for migrating your QB 2017 user(s).

 

Second Option, if you need more than 5 concurrent users, you have to upgrade to Enterprise edition.

 

As additional notes, you may consider hosting your company file at other party's site or make it your local storage as private cloud. If you prefer hosting it, an internet connection is a must for all users similar like using QBO.

Hi Fiat Lux, Thank you for the update. I did not mention in my previous post that at our firm, we currently have 3 sets of of QB2017pro desktops and 3 sets of QB2018pro desktops. It appears QB Enterprise is the logic way forward for us. I have a few more questions : 1) For QB Enterprise, does this mean the QBW/QBB data files are stored at server level ? ie users computer will be installed with a QB Enterprise client and this client access the QBW/QBB data files at the server ? 2) Say we have purchased 10 users licences of QB Enterprise, does this mean any of the 10 users can access the QBW or QBB files ie will there is clash say when 2 users happens to be accessing the same data file. 3) For our existing 2017 or 2018 QBW / QBB files. Do we need buy a conversion program so to convert and make them compactible to QB Enterprise ? Or we simply restore a QBB file to QB Enterprise 4) For the server hosting the QE Enterprise, what specifications (platform / licences ) does it required ? Say for a QB Enterprise of 10 users, do we need to acquire the same number of MS's CAL licences Thank you, Mike

>>> You may store the file on a dedicated server or host it in one of user's computer. Just make sure to meet the minimum requirement for both options.

>>> Please keep in mind that you are subscribing (not purchase like Pro/Premier edition) to Enterprise edition. If you are subscribing for 10 users means you may have up to 10 concurrent users working on the same file (QBW).

 

3) For our existing 2017 or 2018 QBW / QBB files. Do we need buy a conversion program so to convert and make them compactible to QB Enterprise ? Or we simply restore a QBB file to QB Enterprise

>>> Open QBW file of your current version on Enterprise 2019 and it will convert it automatically. You may try converting it with trial license of Enterprise 2019 as well.

 

4) For the server hosting the QE Enterprise, what specifications (platform / licences ) does it required ? Say for a QB Enterprise of 10 users, do we need to acquire the same number of MS's CAL licences 

>>> You don't need to install any MS Excel on server as long as noone open any QuickBooks file on it.

 

As additional notes, if you don't like subscribing Enterprise edition, you may consider purchasing Premier 2019 Accountant edition for 10 users.

Hi Fiat Lux, Thank you for the quick update. So QB Enterprise is actually an online version and on monthly/yearly subscription per user basis ? Our firm has a policy of maintaining our data on our own network/server. We also prefer to purchase the software outright than on monthly/yearly subscription basis. For QB's Premier 2019 Accountant version, does this have all the functionalities of QB Enterprise ? Also it is compatible with QB Pro data, reason being our clients also uses QB Pro Desktop and they send us the QBB data files. Thank you so much,

By default Enterprise edition is a QuickBooks desktop version with an annual license or monthly subscription (not perpetual). Intuit also provides a hosting service for Enterprise edition with monthly payment. 

 

Premier Accountant edition is a Premier edition with an Accountant Toolbox. feature.

Please keep in mind, (like Premier edition) Premier Accountant only allows up to 5 concurrent users working on the same file.

Hi Fiat Lux, Thank you so much for your update. I guess we wont consider the Premier version. For QB Enterprise, am I correct that this is available on subscription (monthly/yearly fee per user) only ? ie we cannot purchase it the same way as QB Desktop. The subscription is user licence fee ? Our firm does not need the host service. We will store our data on our server. Where do I find information on the specifications required for the server ? Thank you so much.

I'd like to provide additional information, Mike_eas.

 

You can purchase QuickBooks Enterprise the same as other QuickBooks Products. You have the option to just purchase the software. However, if you're subscribed to Silver, Gold, or Platinum editions, there will be a yearly fee. Then, if you'll subscribed to an add-on like Advanced pricing or Advanced inventory, there will be monthly/yearly fee too.

 

On the other hand, the article @Fiat Lux - ASIA provided will let you know the specifications/requirements needed to run QuickBooks Enterprise.

Hi Kristine, Thanks for the update. I can only find the cost of the the subscription-based versions on Intuit websits. Where do I find the cost of purchasing the Enterprise software and the user licences. I will need to work out the total costs for the firm's approval. I hope the Enterprise version will solve our issue QB data sharing. Yes, Fiat_Lux's information on server requirements much appreciated. Thank you.

Hi Fiat-Lux, Thank you for the link. I went through the ordering process by choosing say; 10 users licences / Silver Subscription. For "Access" I chose the "Desktop" version as we want to hold our data in-house on our own server. But for the "Payment Plan" option, it displayed "$xx.xxx.xx / 1 at year ". Does this mean we have to pay this $xx,xxx.xx each year and every year going forward ? I just want to work out the cost as I need to submit the proposal to the management team for approval. Bottonline, I don't know how much Intuit will charge your license for renewal later. Another option, you may contact your local reseller to purchase subscription thru them and get perpetual discount.
