Which QuickBooks is right for me?

I'm running QuickBooks Pro 2013 on an ancient laptop. We have recently purchased a server for use in our accounting office. I would like to purchase a new version of QuickBooks and use it in conjunction with the server so that each of the three employees in our office has access to QuickBooks. What version do I need to buy? Do I have to buy separate copies for each employee? What else do I need to know?

You don’t have to buy separate copies for each employee, @Diffus.


QuickBooks Desktop (Windows) offers 3 different versions. They all allow more than one user at a time. 


Since you only need three people to work simultaneously in your company file, you may want to purchase Pro 2019. Otherwise, upgrade to Premier with up to 5 user licenses or Enterprise with 30.

Once ready, download and install the program on the computer. Start setting up a multi-user network and turn on hosting right after.

 

Let me show you how:

  1. Go to the File menu and choose Utilities.
  2. Select Host Multi-User Access from the option.
  3. Hit Yes to confirm the action.

To purchase an additional user license, follow the steps below:

  1. Go to the Help menu.
  2. Select Manage My License, then Buy Additional User License.
  3. Choose the option on how you want to purchase the new license.

Prior to purchase the new license of 2019 (Pro for 3 users, or Premier for 3 users, or Premier for 5 users), you should install the trial license of 2019 and open your current file (or a dummy file) on it. I am not sure you may convert it directly from 2013. You may need to convert it on 2016 or 2017 as a stepping stone. Otherwise, you may consider to purchase a conversion service.
