Enter timesheet in QuickBooks Desktop for Mac

Learn how to enter a timesheet in QuickBooks Desktop for MAC.

In QuickBooks Desktop for Mac, you can set up time tracking and use timesheets to record the work you do. You can create a single or a weekly timesheet for the total number of hours worked that's included on the bills you send to your customers. Here's how.

How to set up time tracking

  1. Go to QuickBooks, then select Settings.
  2. Select Time Tracking and make sure that “Keep Track of Time” is checked.
  3. Select from the First Day of Work Week list the first day of your workweek.
    Note: Each weekly period begins with the day of the week you choose. Close and reopen it to reflect the changes.

How to use time tracking

There are two ways to enter time. You can enter a single activity at the time you do the job or enter all the hours for a job on a weekly timesheet.

Note: You can't enter the start and end time, only the whole duration of the job.

Enter a single activity

  1. Go to Employees, then select Time Tracking.
  2. Select Enter Single Activity.
  3. In the Date field, enter the date the work was performed, then select Tab.
  4. Enter the name of the person who performed the work, then select Tab.
  5. In the Customer:Job field, enter the customer for whom the work was performed. If you are tracking individual jobs, enter the customer name, a colon, and a job name. Select Tab.
    • Non-billable time: If you do not intend to invoice your customer, you can still enter the customer or job name. For example, if you spent the time correcting an error on a job, filling in the Customer:Job field gives you a record of your non-billable time for the job. You can display non-billable time on time reports.
    • Overhead: If the time is truly overhead and has no association with any customer or job, then leave the Customer:Job field blank.
  6. Enter the name of the service item, then select Tab.
  7. In the Duration field, enter the number of hours worked, then select Tab.
  8. If you are not going to invoice your customer for this time, clear the Billable checkbox.
  9. When you're done, select OK.

Enter a weekly timesheet

  1. Go to Employees, then select Time Tracking.
  2. Select Use Weekly Timesheet.
  3. In the Name field, enter the name of the person who performed the work, then select Tab.
  4. In the Customer Job field, enter the customer for whom the work was performed.
  5. Enter the name of the service item, then select Tab.
  6. Enter the number of hours worked in the appropriate Date column.
