Intuit Poster Compliance Service (Labor Law Compliance Poster subscription): All you need to know

Overview

By law, U.S. businesses must display the most current federal and state labor law postings. Posters must be displayed at all company locations in areas accessible to all employees and applicants. Laws change all the time; approximately 75 mandatory state changes occur each year. Currently, there are only 5 states (AZ, CA, FL, TX, Puerto Rico) that recommend postings in both English and Spanish. Government agencies do not notify business when changes occur. Employers are responsible for keeping track of mandatory changes and displaying the most current version to avoid fines and other legal liability. Penalties for noncompliance include federal government fines of up to $33,000 per posting location, and even more devastating consequences in the event of employee litigation.

Labor law compliance posters are one of the few products legally required for all employers. Employers are required to post both state and federal postings, even if they address the same topic and even if they provide conflicting information. Posters may conflict because states have the right to implement their own laws giving employees more protection than afforded by federal law. For example, most states have a higher minimum wage than federal law, more generous to the employee. In any case, both federal and state versions must be posted.

On average, there are around 75 mandatory state changes every year in the United States. It's not uncommon for states to have two or three mandatory changes each year. We understand that keeping up with these changes can be difficult.

Why do I need these posters?

Why should I order Posters from Intuit when I can get them for free from Federal and State agencies?

Yes, you can go to each of the Federal and State agencies to get individual posters. But there is no one-stop shop for posters. You must contact each State and Federal agency individually - as many as 7 different agencies, depending on the state!

Government agencies regularly issue new and updated postings but they do not notify businesses when these changes occur.

Most insurance carriers may provide a worker's compensation poster or unemployment insurance poster, but other state and federal posters are required as well.

How much will the annual subscription cost?

Just remember, you'll have to make sure they're updated going forward.

Will the subscription auto-renew every year, or do I have to call once my subscription expires?

To ensure your on-going compliance, we will auto-renew your subscription at the end of 12th month. We will first notify you via email to remind you that auto-renewal is coming up.

Will Intuit automatically send me a new poster when there is a change to the posting?

Whenever a mandatory change occurs, you will receive an e-mail informing you of the change, and then we will ship you the new poster at no extra cost.

Where and how do you ship posters?

We ship via UPS Ground, which requires a physical street address.  Unfortunately, we CANNOT SHIP to PO BOXES.

Please be sure to give us a street address where we can deliver your posters.  A PO Box will do nothing but cause delay and frustration - yours and ours!

Do I need posters in Spanish, as well as in English?

That depends.

If you have a lot of Spanish-speaking employees, we recommend you get Spanish or bilingual posters.

Federal law states that if you have a lot of Spanish-speaking employees, you must post the Federal FMLA poster in Spanish as well as English.

States have language requirements, as well.  If your state requires you to post anything in both English and Spanish, we'll send you posters with both languages.

I hear you have webinars and newsletters.  How can I access them?

We will email you newsletters and webinar invitations.  We aim to send quarterly newsletters and will include a link to watch the webinar if you missed it.

I need to change my shipping address.  How do I do this?   (And why can't you send my subscription to a PO Box?)

We ship via UPS Ground, which does not deliver to PO Boxes, we need a street address from you, even if you don't have a mailbox .
Your address will need to be something like:

To change your shipping address, follow these steps:

  1. Fill out the change of address form.  Be sure the check the "I HAVE MOVED TO A NEW STATE" box if your business has changed states.
  2. Select Save and close.

How do I know if I have the latest version of poster(s)?

See the latest law updates, then compare that information to what you have on your poster.  The easiest way is by checking the dates:  on the lower left of the Federal and State large format posters is a revision date.  Check that against what you see in the link.

Note:  Several of the individual posting within the large format poster may have different dates as published by the issuing agencies.

Do my posters have the right minimum wage?

The Federal poster has the federal minimum wage (as of November 2014, it is unchanged at $7.25).
We include a Federal and State poster with each subscription.  You must post both the Federal and State minimum wages, and the higher wage applies to your employees.

What happens if I do not receive posters, or receive the wrong one(s)?

If for some reason you don't receive your posters or received the wrong one, please call us at 1-800-556-0879 with your order number so we can track the order and send a replacement if needed.

Note:  There are times when you may expect a new poster, like in January of each year.  However, if there aren't any new laws, we won't send posters.  A new year does not mean you need a whole new set of posters.

We only send posters after a new law has been passed that requires a poster change.

I need to change my credit card information.  How do I do that?

Follow these steps:

  1. Log in to your Intuit QuickBooks Account.  (Click here if you need help signing in.)
  2. In the middle of the page, go to Payment Information.
  3. From the credit logos, select the Edit button.
  4. Confirm you are editing payment information for "QuickBooks Compliance Fed and State Poster Kit with Annual Subscription".
  5. Make necessary edits to your payment information.
  6. Select Continue.

I have a question about my bill.

Q: How do I get to a record of my order?

A: Follow these steps:

  1. Log in to your Intuit QuickBooks Account.  (Click here if you need help signing in.)
  2. From the left menu, go to Billing Activity > Order History.
  3. Select Order Number to see details of a specific order.
  4. From the upper right, select Print this page to print your order details.

Note:  In the Order History, you can see all the orders you've made in the last 180 days. You can limit this list to a specific time period or by dates.  You can narrow the list down by date.

Q: How do I see and print a record of my payment (a receipt)?

A: Follow these steps:

  1. Log in to your Intuit QuickBooks Account.  (Click here if you need help signing in.)
  2. From the left menu, go to Billing Activity > Payment History.
  3. Select View Details to see more info about that payment.
  4. Select Description to see even more info about this order and how you paid for it.
  5. From the upper right, select Print this page to print a receipt for a payment or refund.
Note: The Order History shows both payments and refunds for the products, services, and subscription in your account for the last year.  You can narrow the list down by date.

How do I cancel if I no longer want the subscription?

To cancel the automatic renewal of your subscription:

  1. Log in to your Intuit Account.  (Click here if you need help signing in)
  2. From the Products & Services applet, choose Services & Subscriptions.
  3. At the right of Intuit QuickBooks Compliance Fed and State Poster Kit with Annual Subscription, click the Cancel Subscription link.
  4. Select a cancel reason, and continue with the process until you get a confirmation of your request
