A customer is getting a strange eMail from "Intuit QuickBooks Desktop <[email address removed]>"

"Action requested: Reminder to set up an Intuit account for every company file

We're asking each company admin to link or create an Intuit account per company file.

Please disregard this message if you have already linked or created your new log in. If you haven't already done so, this is a reminder from the September 17, 2020 email that you may postpone the account linking/creation for up to 28 days from that day while continuing to access your company file."

I got this, too, a while back and it was legitimate. It is a nuisance. I already had the online account, but now it makes me sign in twice so often to my companies. I have the desktop version and I really dislike having to login twice when most of the time, I am not even using the web based services. QuickBooks, you need to reverse this annoying and invasive process immediately. It is a waste of our time. I can understand having to sign in if I was actually consulting web services, but most of the time, I am not - maybe twice a year. Thank you. I look forward to this issues being fixed.

What I haven't been able to find out is WHY this is necessary?  I appears that QB is trying to lock in on our privacy for the desktop and I am not pleased about it.  Is there a valid reason for this request?  Thank you

You'll need one Intuit account for all of your Intuit activity from QBDT, QBO, TurboTax, QBSE, etc. That said, the purpose of an Intuit account gives you the power to manage your finances across all Intuit products you use. An Intuit Online Account is your universal user account for most Intuit sites. It allows you to access multiple Intuit websites and applications with the same user ID and password. Once you sign in to your Intuit Account, you can see your orders, download your products, and make some changes to your stored information. Your Intuit Account is created the first time you purchase a product or service from Intuit.

 

Intuit keeps your data & privacy safe and you're the only one who can access and control it anytime. It's an added security to maintain the information for each product you purchase in one place at Intuit.

Thank you very much for your detailed reply.  However, what if I do not wish to have a universal account?  There are no other Intuit products that we use.  I see this ploy as the same direction QBO has taken that it limits you one DB per account.  The DT version does not and the number of companies I am managing on the DT version is our business since we have violated no license rights.  If I don't sign up what consequences will Intuit issue?  Thanks again.

With our continued efforts to improve the QuickBooks security, we are making some changes to use One Intuit login. This is to ensure you have greater control over user access and makes it easier to have all Intuit products seamlessly connected.

 

If you don't wish to login, you can click the Remind option to stop the prompt for 7 days. However, after 28 or 42 days, you're unable to skip signing in.

 

Aside from the option, you can also press the Alt + F4 key and then click the Cancel button.

Quickbooks (desktop version) needs to remove the requirement to sign in to the online account every time we log in to payroll. I notice it always makes me login when I open my payroll company, but not so with the others. It was just once, the first time after the email, with my other companies. I understand that we get payroll updates, but I do not understand or accept the requirement to login to the online account each time I login to payroll, particularly since i am not using your online services unless I consult help. I do not consult help even once per year now. Please remove this online account login requirement. It is irritating, feels invasive, and it is unnecessary. I look forward to your reply.

I got this also and tried to follow the instructions with no luck.  The person I wanted to make an account 

with the business email already had an account, but could not remember her password.  We went thru the 

recover process and it wanted personal information from her filing with turbo tax SS number etc.  This is 

a business quickbooks account, no personal information should be required.  What happens if we don't comply?  We have already spent hours on this

I've got steps to ensure you can reset your password, @djdutko.

 

If it is the admin password, follow the steps below:

 

For QuickBooks 2020

  1. From the Company Login window, select I forgot my password.
  2. Select an email from the list, then Next. You’ll be emailed a token to reset your password. Note: If you don’t see your email address, click Don’t see your email in the list above? and follow the on-screen process.
  3. Type the token you received.

 

For QuickBooks 2019 and earlier, please proceed to Step 2 of this article: Reset your password for QuickBooks Desktop

 

If this doesn't work, refer to these steps:

 

  • Go to CAMPS, to check the info you entered. 
  • If you encountered an error or still need help resetting your password, use the Automated Password Reset Tool
  • If the same thing happens, click Search for something else, type password, and hit Search when you contact us.

 

However, if this is a user password that you need to reset, please follow the outlined step in the Reset a user password section of this article: Reset your password

I do not use the online account for any Intuit products.  I do have several companies on my desktop edition...

 

So when I change from my company, to my wife's company, to my son's company and also my family trust...

I do login already and enter my password... 

And I am the admin for all of these companies... do I still need to set up an ID & password for each desktop company's QB file?  And then log in twice each time I enter into each separate company?

Please advise...

To ensure the protection of your critical data, QuickBooks Desktop requires passwords for data files to meet certain complexity requirements. We'll need to set up the User Name and Password for each user per company files for multiple QuickBooks company files. It will serve as an optional password for them. As for setting up a user with restrictions, choose Selected areas of QuickBooks, for you to make selections on what they can access. Take a look at the QuickBooks Desktop Users and Restrictions article to know more about this process. If you're using QuickBooks Enterprise, you can refer to this link in adding users and restrictions: Create and manage roles.

 

However, you can log into a Company File without having to enter a username and password every time. This works as long as you are using the same Windows user account, you only have to log in with your username and password once every few days. Then, open the Company File or switch to another Company File without having to re-enter your login credentials. So, again, to be clear...

Even though all entry is from my desktop copy- I have to set up an account for each of my companies-

such as for my 4 desktop companies: ABC, 123, XYZ, & 789...

Resulting in 4 account IDs setup as:

rcgeil_ABC for company ABC...

rcgeil_123 for company 123... 

rcgeil_XYZ for company XYZ...

rcgeil_789 for company 789...

 

and my wife would have to set up an account for each of my companies: ABC, 123, XYZ, & 789...

wife_ABC for company ABC...

wife__123 for company 123... 

wife__XYZ for company XYZ...

wife__789 for company 789...

...

Do I have this right and all of this needs to be done by Monday, Nov 21st... my 28th day of extension.??

Setting up your username and password for each company file is right, rcgeil.

 

As the admin of the company file, you have the option to choose how many days to stay logged in. The minimum is 90 days and the default is 2 days.

 

If your login will expire on Nov 21st, then you need to enter your username and password when opening the file. You can visit again this link for more details: Stay logged in to the QuickBooks company file (sign in without entering your password).

 

On the other hand, your login credentials to open the QuickBooks company file is different from your Intuit Account.

 

You can create one Intuit Account if you wish to see your subscription information, payment methods, and other QuickBooks account information. Check out this link for additional information: Manage your Intuit Account online.

Let's make sure your wife will have separate login credentials so she can access the QuickBooks company file, rcgeil.

 

You'll want to add her as a user and select the areas in QuickBooks that your wife can access. You can follow the steps provided below:

  1. Go to the Company menu, then select Set Up Users and Password, and then Set up Users.
  2. Select Add User...
  3. Fill out the User NamePassword, and Confirm Password fields, then select Next.
  4. On the Access for user: (username) window, choose which area of QuickBooks the user has access to, then select Next.
    • If you choose Selected areas of QuickBooks, you can customize the restrictions for different areas of the company file for the newly created user by selecting No AccessFull Access, or Selective Access.
  5. Click Finish.

I'll share insight on your query about this reminder to set up an Intuit account.

 

You can continue to use QuickBooks Desktop (QBDT) without going through this process. Keep in mind though, this reminder will continue to appear each time you log in to your QBDT company or log in to your QBDT Payroll service.
