Adding a client

Hey QuickBooks family,

 

I hope this is a simple query but we shall see.

 

Actually, I have two questions.

 

1) I'm a part of a firm at the moment, can I leave and begin my own? I feel like this should be "yes" but I didn't see an obvious solution, which perhaps there is and I just missed it (wouldn't be the first time).

 

The reason for this is that I'm wanting to add a client to my profit so that only I have access to it and I'm not sure that's possible with a firm since I'm not the Firm Admin and I imagine I will want to manage my own clients long-term anyhow.

 

2) This one is a bit more interesting but maybe just as easy.

 

I'm wanting to add this same client and apply the QBO discount available to us as ProAdvisors however, this client has an existing account with QBO. Does this client have to end her subscription and then I create a new client and fill in her details? Or can I apply this discount without having to cancel her current plan?

I'm here to ensure you're able to find the best solution for your client, @Jonathan08

 

Wholesale discounts are available for new QuickBooks Online (QBO) subscriptions only. With this, yes, you can suggest her to cancel her subscription after your old firm removed her company from wholesale billing. Before that, please have her print all the necessary reports to serve as your reference. 

 

Once done, re-add her company to your QuickBooks Online Accountant (QBOA) account. This way, she'll get the 50% discount so she won't switch to QB Pro. Just make sure to exit the firm you're already in before performing this process. 

 

After that, you can go to Clients from the left menu. From there, you can edit your client's info, make them inactive, and reactivate them. It keeps your list up to date as your clients will grow in the future. For more information, check out this article: Managing Clients

You've got me here to provide some insights about adding clients to your own firm.

 

Yes, you can start your firm, so you'll be able to add and keep your current clients. When it comes to your second concern, if you're client has a QuickBooks Online plan, they can invite you as an accountant so you can work with their account.

 

If the client’s subscription is already receiving a wholesale billing discount from a different firm, they can still get yours once the old firm removes them. That being said, there's no need for them to cancel their subscription. Just make sure that you can complete the transfer within 60 days so they can still avail of the discount.

Can you point in the right direction to leave the current firm I'm in and then create my own?

 

Also, I want this client of mine to get the discount from signing with an accountant, how do I go about getting that for them if they are an existing user.

Hello Jonathan!

 

You can sign up for a QBOA account using your existing credentials. Then, you can start adding a client to it, where you have the option to pay their subscription and apply a discount.

 

Speaking of discount, this only applies to clients that do not have an existing QBO subscription. In your case, your options are to be invited as a firm user in their company, and you also have an option to take over their billing, but with no discount. See Manage clients with wholesale and direct billing, and go to Take over a client's direct billing section.

So, there's no way to exit the firm I'm already in?

 

Also, there's no way to give this client a discount? Honestly, they are considering a move to Pro and I want to keep them in Online (mostly for it's convenience and whatnot).

Since you verified that you're not the Admin from the previous firm, I suggest contacting your admin. They have access to remove you as a user so you're able to exit the firm that you already in.

 

Once you have already a new firm or QuickBooks account, you can enroll your clients in the wholesale discount. Please note as mentioned by my colleague above, the discount only applies to clients that do not have an existing QBO subscription.

 

Here's how to enroll your clients in the wholesale discount:

 

  1. Sign in to QuickBooks Online Accountant.
  2. Enter your client’s information in the Add client screen.
  3. From the billing choices drop-down, select Wholesale discount (firm is billed).
  4. Choose the product(s) you recommend for your client, including Payroll if needed.
  5. Select which team members you want to have access to the account, then hit Save.

What happens if the client cancels their subscription, could I then add them and retrieve their information?

Thank you for posting here again in QuickBooks Community and provide the additional questions to find the best solution for your client.

 

Once your client cancels their subscription, they can still have view-only/read-only access to their data for one year. After that, the system will permanently delete all the records. However, if they cancel during a free trial, the data is available for 90 days.

 

Yes, you can still add them even the client cancels their subscription or they don't have QuickBooks Online. Please note that this is only for tracking purposes. You can check this article for additional information: Add a new client in QuickBooks Online Accountant.

 

You can suggest your client to export their QuickBooks data before they cancel their subscription so you're able to retrieve their information. You can recommend  this article to your client to see additional details: Export Data out of QuickBooks Online.

Thank you so much for your responses and patience but allow me to present one last query for this thread (I hope it's my last haha) albeit a bold one.

 

My client with her existing QBO account will probably switch to QB Pro for price reasons, I'm thinking I could suggest her to cancel her subscription and then re-add her so she gets the 50% discount.

 

Thoughts?
