Advanced Search Function Not Working (limited by date)

Hi, Advanced Search Function Not Working as it had prior (limited by date). I am trying to search a memo line by a specific number. For some reason it's limiting my search to 2019 forward. I need to search our 2015 transactions, but the remove filter button is not working. 

I looked at the forums and have tried:

1) Going into incognito mood

2) Clearing Cache

3) Using Chrome

4) I tried to go back to the dates I need and it's x'd out.  Please help!

Let me share some information about the changes that we have to the way the date filter in the Advanced Search filter works. In the past, customers were able to run a query expanding as far back as the date their QBO account creation date. These type of queries have caused performance issues in the near past so changes were necessary to ensure QBO availability and, at the same time, access to all your data.

 

That's why, starting June 16th, 2021, we have changed the way the date filter in the Advanced Search works. You'll still have access to all data entered into QBO, the date filter will limit you to look for information in two-year blocks. Thus, if your QBO subscription started in 2015, you will be able to look for information from 2015 - 2017 or 2016 - 2018, etc.

I've got you covered in searching for your 2015 transactions in QuickBooks Online (QBO), @Guest2155.

 

The Advanced Search function in QBO will let you search two years' worth of data (i.e. transactions from 2019 to 2021). However, you can pull up the Transaction Detail by Account report and set its Report period to 2015. This way, you can easily find the transaction you need and manage them accordingly.

 

Here's how:

  1. Go to the Reports menu.
  2. Type in Transaction in the search box and choose Transaction Detail by Account.
  3. In the Report period field, set the appropriate date (i.e., 01/01/2015 to 12/31/2015).
  4. Click the Run report button.

Thanks for your help! Although often times I do not get dates, so QB taking away this function is quite troublesome for me and others who use the advance search function to quickly find items. I still also cannot search by memo note unless I export this to excel. Do you know if there is a fix to restore it back? This function was a huge advantage if QB over other systems.  Is there a way for us to make this concern known?

I agree with Guest2155!  Why does the advanced search have to be inhibited by a two year date range or any date range at all for that matter?  If I use reports, I lose the ability to search by "description", "amount', "reference number", and other viable options to find my transaction more easily.  Advanced Search is no longer "Advanced" if you're going to put parameters on it!! We need to have access to all of our data, not just the data you see fit.  Please change it back so all applicable data can be retrieved. . .I BEG OF YOU!!

This is causing major problems for us and the workaround will not work because 1) our sales persons do not have access to reports and we don't want them to have access to them, 2) we need to find items in "line description" of the invoice, and 3) we have clients from 3-4 years ago contacting us to reorder various items and the only way we can look up the specific custom item they ordered is through "line description" as well as their PO# using Advance Search. Reports will NOT work. Please restore this feature!!!

 

What is the logic of not able to search beyond two years?! We've been loyally using QBO for multiple years and this is what we get? This feature was working fine until today. What happened?!!

Hi there, @CL-Los Angeles. I understand how important it is being able to look for older transactions and search them by description, amount, or reference number.

 

Currently, we have an ongoing investigation (INV- 59794) with the Advanced Search feature. It's about being unable to edit the date filter to any date older than July 01/2019. Rest assured that our engineers are working diligently to get it resolved.

 

I recommend contacting our Customer Care Support team so that you can be added to the list of affected users. This way, you'll receive email updates of the investigation's status and be notified once it's been resolved. I've included the steps to contact support below. 

  1. Click the (?) Help icon in the upper right-hand corner of the Dashboard.
  2. Select Talk to a Human.
  3. Enter a short description of your concern. You can give them the investigation number. Let them also know about being unable to search by description, amount, or reference number. Press Enter.
  4. Click I still need a human.
  5. Select Contact Us to connect with our live support.
  6. Choose Get a callback.

As a workaround in viewing your transactions, I'd suggest running and customizing your Sales or Expenses report to find transactions older than July 1, 2019.

When is this going to be fixed? This is causing us to spend unnecessary time to look into each invoices for a custom keyword in "description" section. All our products are custom made and we input the custom name of each items they order in the "description" section and there is no way to search in description. Also, we do not want our remote contract workers to have access to reports so they need to use Advance Search to find customers by their PO#s, description, etc. 

 

Please explain why this feature stopped working when it was working fine. Who had the bright idea to limit the search to 2 years all of a sudden?

The investigation for the Advance Search function (INV- 59794) has already been resolved. Updates in this investigation will automatically apply to your account.

This is NOT resolved. They have simply now set everything within 2 years timeframe to search. This 2 year parameter does not work in real-life situations. I can't believe that you think that searching 2 years at a time is a good idea. Please restore this function. I tried calling, using call back, AND chat, and all got disconnected after I mentioned my case # and investigation#. I again don't want to waste my time calling and explaining things again. Please fix this as we need to search quickly and easily all timeframe in advance search.

This is absolutely insane. Old invoices, estimates, and work orders are why we need the search function. 2 years is unreasonable. Your engineers are apparently are too young to understand that 2 years is just a blip--some of us have been in business for decades. Please put this back the way it was--this could be a deal-breaker for continuing with QBO.

Well, it's good to know we can at least do searches in two year blocks. But I have data back to 2002, and when I go looking for a needle in a haystack, repeating the same search 10 times to  cover 19 years really sucks. This is really a backward step for QBO. If you're going to solve your "performance issues" by limiting functionality, then the price should be adjusted accordingly. But since I'm unaware of performance issues in the past with the search function, this seems like Intuit simply wanting to cut costs by throttling capabilities. I am a very unhappy customer right now.

I see the importance of keeping track of your business, CircleM.

 

You can only enter the date, amount, or transaction number of the transaction number you're looking for In the Magnifying glass search option.

 

It doesn't work, let's do some troubleshooting steps. There are times that the browser is full of frequently accessed page resources, thus causing some errors and/or unusual responses. To fix this, let's start by accessing your account using a different or a private browser. You can use either of these keyboard shortcuts:

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Shift + N

If it works successfully, let's go back to your regular browser and clear the cache to prevent any unexpected behavior. 

 

If the same issue, I recommend contacting our Support team so that you can be added to the list of affected users. This way, you'll receive email updates. I've included the steps to contact support below. 

  1. Click the (?) Help icon in the upper right-hand corner of the Dashboard.
