Assign rates to clients

I would like to have a rate assigned to specific clients. I charge different hourly rates, and I don't want to use products, services or items. When I start an invoice for a client, I'd like the default rate for that client to populate. Have not found a way yet. Products with different rates would have to be labeled the same way: professional fees. So it would save time to be able to assign that in the client/customer screen.

Checking your post, looks like you can use the pricing rules feature in QuickBooks Online. This is currently running in beta testing for QBO users and should be available for everyone once the test is complete.

 

If you want to test this preference, we have a test drive that you can use temporarily. There you can assess the Price Rules feature and see if it works for your business. To use out test drive, click the following link: QBO Test Drive

 

Here's how to enable price rules, follow the steps below:

 

  1. Tap Settings ⚙ and pick Account and Settings or Company Settings.
  2. Proceed to the Sales tab, then click the Products and services section.
  3. Click the slider beside Turn on price rules Beta checkmark. Once enabled, it should change to color green.
  4. Once all set, press Save and then Done.

 

To get started with setting up rules or find instructions on how to use it including FAQ's, see this article: Set price rules in QuickBooks Online

Hello there, @sibylp.

 

The Price Rules is a beta feature in QuickBooks Online (QBO) Plus which is currently available for US regions. There's is a possibility that you're using a QBO Simple Start or signed up for a different region.

 

However, if you're using a QBO Plus and signed up for the US region. We can try logging in to your account into a private browser. This way, we can check if it's a browser-related issue.

 

You can use these shortcut keys depending on the browser you're using:

 

• Google Chrome: press Ctrl + Shift + N 

• Mozilla Firefox: press Ctrl + Shift + P

• Safari: press Command + Shift + N

 

If it works, go back to your regular browser and clear its cache. These caches of data are essentially junk files and can be safely deleted to free up storage space. Otherwise, switch or use a different browser.

 

Once done, you may refer to this article to create a price rule: Set pricing rules in QuickBooks Online.

Looks like I have QuickBooks Online Essentials, so I'm guessing that feature is not available to me, right?

The pricing rules feature lets you control the price of your products and services. With this, you can offer discounts or charge different rates by item and assign them to only certain customers for a specified amount of time.

 

For the time being, the said feature is running in beta testing for QBO Plus and Advanced plan users. Since it isn't available for Essentials plan subscribers, like you, you may use our test drive account to access Price Rules and see how it works for your business. 

 

However, in case you opt to switch your subscription from Essentials to either Plus or Advanced plan to utilize the pricing rules feature, please refer to this article for the step-by-step guide: Upgrade your QuickBooks Online subscription.

If I select a Customer and set a Price Rule will it apply to all of the projects associated with that customer or do I need to select the customer and also all of the projects? Thanks.

Yes, you got it correct. Setting up a price rule doesn't apply to a project that's associated with your customer. You'll need to add the customer and all their project to the rule.

 

I understand having an option to automatically set a price rule for all your customer projects is beneficial in running your business. As a way around, you can look for a third-party app that lets you set a price rule for your projects. Simply hover to the Apps menu and look for an app from there.

 

Furthermore, I'd recommend sending your feedback to our Development team. This way, they can review your opinion and might consider implementing it in future updates.

If I select the Customer:Project and set a price rule will it apply to that Project?

Thanks for coming back, @EstesBabe. Let me clarify more things about the price rule.

 

In addition to my peer's response, selecting a customer won't apply the price rule under all the customer's projects. Yes, you're correct about that you'll have to pick them up individually. This means that you'll have to select the customer and all the projects separately.
 

 

Please refer to the the steps below:

  1. Click the Gear icon and then select All Lists.
  2. Go to Price Rules.
  3. Hit New price rule.
  4. Enter the Rule name and then under the Customer drop-down, choose Select individually.
  5. Click + Add customer to add the customer or project separately.
  6. Enter necessary details and adjust the Products and services amounts.
  7. Make sure the setup is good, then hit Apply rule.
  8. Click Save and close.
