Is Project # added as a custom field in your invoice?
The Estimate no. is a standard field on the estimate's window. While Project # on an invoice is a customized field in which you can add to your sales transactions. Since these two have different functions, therefore they won't be linked to each other.
However, you can create another field such as project number your estimate's template. Then, copy the estimate number on it. This way, it will automatically populate on the invoice's project number. Let me show you how:
Add another custom field for the customer.
- Go to the Customers menu and select Customer Center.
- Double-click the name of the customer. Then, click Additional Info and select Define Fields.
- Enter the project number under the Label column. Then, check the Cust and Trans column.
- Click OK and select OK again to once prompt.
Once done, add a project number to your estimate template. Just follow these steps:
- Go to List and select Templates.
- Double-click the estimate template and click Additional Customization.
- Look for the project number that you've recently added in the Header column.
- Make sure to check the boxes for the Screen and Print column. Just click OK when prompt.
- Add the title name for the project number and select OK.
- Close the window by clicking the X icon on the upper-right corner.
After this, you can now create an estimate and select the customized template in the Template drop-down list. Then, copy the estimate number in the PROJECT NUMBER section. You can check out the screenshot below as your reference.
Once you convert your estimate to invoice, its project number will automatically reflect in your invoice's project number.
In addition, you can run the Estimate by Job report in QuickBooks Desktop. This will show you the all active estimates assigned to each customer or job. Just go to Reports and select Job, Time & Mileage. Then click Estimate by Job.
