Batch invoices from sales orders

I have Quickbooks Premier 2019 and I can't seem to find this, can you convert sales orders to invoices in batches instead of doing one at a time.  I have a large customer that needs each individual sales order (that has different items on each) invoiced individually (there is about 100 of them every other week).  Is there a way to mark each open sales orders by either a date range or for a particular customer and do this as a batch, instead of going into each sales order and creating an invoice each sales order?  Let me know, thanks, Wendi

Re: Batch invoices from sales orders

With sales orders you can select several sales orders to populate ONE invoice, but if you are looking for one invoice per sales order, no there is no automated way to do that.

to get multiple sales order to populate one invoice, open an invoice, then select the customer, QB will ask if you want to use the sales orders and list them, check off the ones you want on that invoice

Re: Batch invoices from sales orders

Hi Wendi Jo,

In this case, you'll have to select each sales order from the Available Sales Orders window to populate an individual invoices and click on Save & New.

For more in-depth information about this, refer to this article: Create an invoice in QuickBooks Desktop.

Having this feature would be beneficial to your business and help save time. I'll definitely pass your suggestion along to the right team for review and they may be able to consider this in the future updates.

For now, I suggest checking back for any enhancements through this link: The QuickBooks Blog.

I'll be sure to update you here if this becomes available in QuickBooks.

Please let me know if you have any follow-ups or other questions. I'm here to help. Have a good one.

Re: Batch invoices from sales orders

Well darn, I was afraid you were going to say it wasn't an option.  And yes we use the 1 invoice for multiple sales for other customers, but this 1 customers has to have individual invoices because they are all different PO numbers, ship to and etc.  Thanks for the quick reply, Wendi

Re: Batch invoices from sales orders

I did find a work around for this one customer who needs an invoice for each sales order, this seems quicker than going through the invoice enter screen as shown above.  Go to Customers, Invoice Tracker, pull up customer, type: Sales Order, then click on Action and pick "convert to invoice" for each sales order.  Yes it is still one by one, but it was quicker than through the invoicing screen.  It would be awesome if you could click all that apply and then convert ALL of them at once to an invoice.  Then when finished you can change the type to invoice and then at the bottom "batch actions" and print all the invoices you just converted in 1 print.  Hope this helps someone, thanks, Wendi
