Bin & Bay Locations For Inventory Items

Hello,

 

I'm just a little confused on how to go about setting up bin/aisle locations in QuickBooks Enterprise. I know that I need to enable advanced inventory and then set up a new site for the inventory, but after that, I start to get confused. I was wondering if it was even possible to set up Aisle and Bay locations, meaning that the bay locations would be a sub-item of the Aisle. I've attached an image (Aisle & Bay Locations.png) to hopefully clear up any confusion in what I'm asking. If you have any questions or need more information, just let me know. Also if there is a better way to go about this, please let me know.

Thanks for dropping by the QuickBooks Community. I'd be glad to help set up the inventory, so you can efficiently track the items.


You’re on the right track with setting up the Advanced Inventory.  Since there isn’t a direct way of making the bay locations as sub-item to the aisle, you can use the Inventory Site field as the aisle and Bin column as the bay.


For the detailed instructions, follow the steps below.

 

To set up the aisle:

 

  1. Go to Inventory at the top menu bar.
  2. Select Adjust Quantity/Value on Hand.
  3. Click on the Inventory Site drop-down, and select Add New.
  4. On the New Inventory Site window, enter Aisle 1 in the Name field.
  5. Fill in the necessary fields.
  6. Once done, click on OK.

To create a bay:

 

  1. From the Adjust Quantity/Value on Hand window, go to the Bin column.
  2. Then click on the drop-down and select Add new.
  3. In the New Inventory Site window, enter the bay name. For example, Bay 1.
  4. Fill in the necessary fields.
  5. Click on OK.

Thank you for your help, this is exactly what I was looking for. I'm now wondering if there is any way of importing a list of inventory sites? We currently have a lot of product and would like to start categorizing it and it would take a while to manually make each bay and aisle, so importing a list would be nice if possible.

It's a pleasure to see you here in the Community. Allow me to step in and share some information about importing list in QuickBooks Desktop (QBDT).

 

Importing a list of inventory sites is an awesome idea! However, this option is currently unavailable in QBDT. You can only import item list or inventory list. For more information, please refer to this article: Import/export overview.

 

In the meantime, you'll need to manually enter each bay and aisle as a workaround. You may follow the steps provided by my colleague above.

 

I can see how this feature would be helpful for you and your business. While this option isn't available yet, I'll be sure to pass along your request directly to our Product Developers for consideration in future updates. I also encourage you to submit feedback as well. This will help our Product Developers know this feature can make your QuickBooks experience smoother.

 

Here's how:

 

1. At the top menu bar, go to Help.
2. Pick Send Feedback Online.
3. Enter your request/product suggestion, then click Next.
4. Click Skip and send a message.
5. Select Feedback as the Category.

Thanks for your assistance, and in doing some research and exploration in QuickBooks, I've discovered that you can actually import a list of inventory sites/locations. I found out from this article (https://www.accountexnetwork.com/blog/2012/09/quickbooks-2013-bin-locations-2/) that, when enabled, a new list called "Inventory Sites" will show up under the "add multiple list entries" menu. This is perfect and may now actually allow us to use bin locations in our warehouse. Now the only question I have is if there's any way to add the bin location to multiple items or will we have to do it manually via the "Transfer Inventory" function?

I'm glad you're able to find a way on how to import a list of inventory sites/locations. I'm here to address your concern about moving multiple items to different sites/locations in QuickBooks Desktop. 

 

At this time, the only option to add multiple items to a specific bin is through the Transfer Inventory feature. This process allows batch action of moving the inventory items from one bin to another. 

 

I can see you're quite familiar with the process, but just in case, allow me to enter the steps below:

  1. Go to Lists at the top menu bar, then select Inventory Site List
  2. Locate and right-click on the bin you want to use.
  3. Choose Transfer Inventory and specify the correct date range. 
  4. In the Transfer from drop-down, pick the sites where the items are initially entered. 
  5. Select the sites where you want to transfer the items in the To field. 
  6. Click Find & Select Items, then put a check mark on the items you need.
  7. Choose Add Selected Items
  8. Pick Save and Close

This setup is good.
What about adding rows in the BAY.
So there would be like a hierarciel setup.

Aisle > Bay > Row
