Can I export and re-import only specific sales receipts from a previously backed up Company File?

For reasons I wont get into, when doing my books I had deleted a whole bunch of Sales Receipts. I know that in a company file backup that I have on my computer those sales receipts are still there (from before I deleted them).

 

Is it possible for me to open up that old backup (of course only after backing up my existing company file) and export those sales receipts and then re-open my existing company file and import those sales receipts? Without completely screwing everything up, that is. I don't see a way to export other than a pdf report. I need these to export and import as sales receipts. If not natively within QB desktop, is there a third party app that can do this?

 

Any help would be greatly appreciated. It would save me a TON of time in re-entering all those sales receipts manually. Thank you in advance!

There's no way to export Sales Receipts from the old file so you'll have to do this by hand.  Two tricks that may help save some time.  First though be sure to back up your current file in a safe place in case it all goes south....

 

1. Duplicate your QuickBooks Application in the Finder. Now you have two copies. You can open one copy with your current file and open the backed up file with the second copy.  That way you can view the Sales Receipts side by side.

 

2. I'd first try to enter the missing Sales Receipts in the new file using the File->Import->Transactions->Sales Receipt window.  This presents a spreadsheet like window where you can type in information for multiple Sales Receipts at once.  That might save you considerable time depending on how many you have to do.

Exporting and re-importing your old backup may include other transactions. Instead, you'll want to restore the old backup file to get the information of your Sales Receipts and manually enter them into your updated company file.

 

Here's how to restore your backup:

  1. In QuickBooks Desktop Mac, choose File.
  2. Go to Open Company, select the .qbb file.
  3. Then click Open.
  4. Hit OK when asked if you want to restore a QuickBooks for Windows file.
  5. Enter a name for the restored file, and then click Save.

Here's how to manually enter the Sales Receipt:

  1. Go to Customers, then select Enter Sales Receipts.
  2. From the Customer: Job ▼ dropdown, select a customer or job. If the customer isn’t on the list yet, select Add New.
  3. Fill in the relevant information at the top of the form like the Date and Sale No.
  4. Choose the payment method.
  5. Select the item(s) included in the sale. When you select or add an item, the description and amount automatically populate the sales receipt form. You can change this anytime in the sales receipt.

Thanks. I'm going to use your method #2. I didn't know about this window. It'll save me a lot of time. The only thing I noticed about that is that in that method I can't input the actual customer's Sold to and Ship to info (it's different for each sales receipt) like I would in the Sales Receipt window. But I guess I can at least put the name in the memo section so I know which customer it went to.

 

What a mess this is. I would have switched over to QBO LONG ago if Intuit hadn't made transitioning from Desktop for Mac such a horrible process. I track inventory and so when I tried moving over to QBO it didn't include ANY of my inventory and so nothing matched up (along with some other problems).
