Is it possible to run an A/R Aging report or an Open Invoice report based on a certain type of customer? We have a custom report that we filter by customer, but it is a pain to go through all of our customers and select just the ones we need for the report. And then we have to remember to update that filter if we add any new customers. Any suggestions?
Hello, mcesc.
Using a report to sort a certain type of customer for their balances would definitely speed up the payment collections process. So, I'd like to take this moment to elaborate a certain part of the Reports feature, and help us get the data we need.
Customer-related reports will always show the entire customers list. It sounds like you're using Customer Types to sift through them. We can use the Sales by Customer Type Detail report. However, we're unable to see the exact balances for the invoices while filtering out the customer types.
The closest workaround for this is to use the Sales by Customer Type Detail and the Open Invoices reports. We'll want to compare the data from both reports to sort out the open balances from different customer types.
We'll want to export both reports to Excel. If possible, we can combine the data to get the report we need.
To export the report to Excel, simply click the export button (right beside the small gear icon on the report view section), then select Export to Excel.
If you'd like to learn more about running reports, I can share this article with you: Run reports in QuickBooks Online.
In case you haven't done it yet, you have the option to send reminders to your customers about their due balances. If you want to know more about it in the future, check out this guide: Send invoice reminders automatically or manually in QuickBooks Online.
I'm always available if you have concerns about running reports for your finances. Would you like some assistance on other things like expenses or bank transactions? Feel free to add the details on what you'd like to do. I'm here to help.
Thank you for the reply. You said, "Using a report to sort a certain type of customer for their balances would definitely speed up the payment collections process." If that is the case, are there any plans to make it easier than having to download 2 spreadsheets and manipulate them to get the data I need? It seems to me (and I'm not a coder) that there just needs to be an option added to the A/R aging report to be able to filter by Customer Type.
Hello mcesc!
We actually don't have access to the current projects or plans of our engineers, but you can submit your feedback about adding a Customer Type filter to the A/R Aging report. I also find it easier than downloading and manipulating two reports. Just click on the Gear icon and choose Feedback.
On the other hand, you can check and vote on the ideas you like in the Feedback Forums.
