Creating invoices with billable hours

When creating an invoice, hours that have already been billed on the previous invoice are showing up as unbilled so I am able to bill the same hours twice. EEK!!!   This does not happen on all jobs, just two. And it just started happening after using this for 6 months.  Please Help!  Thank you!

This sounds like a data issue with your company file. The Verify and Rebuild Data tool self-identifies the most commonly known issues in your company file.

Below are instructions with how to Verify data:

  1. Click on Window then Close All
  2. Choose File, select Utilities, and then Verify Data

Tip: Assisted Payroll customers should consult an Assisted Payroll agent before running Rebuild Data.

To run the Rebuild Data tool, here's how:

  1. Select FileUtilities, then click Rebuild Data
  2. You will receive a warning message to backup your company file, press OK.
  3. Choose where you want to save your backup, then pick OK at the bottom of the QuickBooks Desktop Backup window.
  4. The Rebuild Data utility starts as soon as the backup is finished.
  5. Click OK when you get the message "Rebuild has completed".

For more detailed instructions with the Verifying and Rebuilding Data tool, refer back to this article: Verify and Rebuild Data in QuickBooks Desktop.

Let me know if the steps above do the trick. If you have any more questions, I'm only a few clicks away. Have a good one!

Creating invoices with billable hours

Hi Kendra,

Thank you so much for the info. As a relatively new Quickbooks user this was a scary step so it took me a day to think about it.  I finally verified the data and rebuilt the data.  Here was the result:

I appreciate you for keeping me updated about this concern, @Beth1990.

You've got me here to provide the details on what are the next steps to take, so you can get rid of the error that you received after verifying and rebuilding your data.

The warning that you received has something to do with your QBWin.log. This logs program messages and errors, including information created by Verify, Rebuild, and Condense Data utilities, in a specific file.

To fix this, I suggest contacting our Customer Care Team. They'll be able to help you use the Auto Data Recovery to fix your company file. It can fix errors that the Rebuild Data Utility tool can't.

The following links below also provide details about fixing and managing QuickBooks logs, in case you need it in the future:

Lastly, you may consider visiting this article I've attached to guide you in navigating QuickBooks and it's great features: Help articles QBDT.

Know that I'm always here to help if there's anything else that you need. Wishing you all the best, and stay safe.
