Email with attachments

I'm trying to email an invoice with an attachment but the selection is greyed out, any ideas?

This is usually a settings issue. And, you'll want to perform the recommended steps so you can send the invoice with an attachment in QuickBooks Desktop.


Step 1: Make sure to update the program to the latest release for maximum use of the functionality.


Step 2: Check the settings in the web mail preferences.


  1. From the QuickBooks Edit menu, select Preferences.
  2. On the left pane, choose Send Forms.
  3. Under My Preferences, select the email account you are using, then select Edit.
  4. In the Edit Email Info screen go to the SMTP Server Details section and set the server name and port to your email provider settings. Refer to Set up your email service in QuickBooks Desktop for a list of SMTP Server and Ports.

Step 3: Check your Internet Explorer email preferences.


QuickBooks uses Internet Explorer to run web services in the background. You may need to reset your email preferences there.


  1. Close QuickBooks.
  2. Open Internet Explorer.
  3. Select Tools then the Settings menu and then Internet options.
  4. Select the Programs tab. Then select Set Programs.
  5. Select Set your default programs. Then select the email service you want to use.
  6. Select Apply and then OK.
  7. Close Internet Explorer.

If you're getting the same results, I highly suggest contacting our QuickBooks Desktop Support Team. They can further investigate why the option to email and send an attachment is greyed out.

Thank you for the quick reply. I followed those steps but no luck. I tried to start a chat but no one ever responded to me. I saw a help line that I may try to call. I'm not the Admin on the account so if it is a setting / preference issue that needs to be changed, I will be out of luck until the admin can help us out.

Since performing the steps listed by my colleague isn't working for you, you'll need to speak with our technical support team as they have the tools available to share your screen for further review of the issue. I see that you're having issues contacting them via chat. I recommend setting up a call back with an agent. I've included the steps below to do this. 


1. Open the Help menu at the top and choose QuickBooks Desktop Help



2. Type Contact us in the search box and hit the enter key. 



3. Click Contact Us at the bottom of the screen. 



4. Choose Get a call back from the list of options. 



5. Fill out the form and hit Confirm my call
