Estimate and Invoice Custom Fields

Does anyone know if you can add a custom field to invoices and estimates, basically a subject line with a brief description of what the quote is for, that you can also see when viewing all estimates and invoices in a list?

Yes, there's an option to add the custom field, Sara Taylor.


We can create an invoice or estimate template and add the field in the Custom Form Styles settings. Please take note that the modification will apply to all templates. 


Here are the steps:

  1. Click the Gear icon located in the upper right-hand corner.
  2. Under Your Company, click Custom Form Styles.
  3. Click the New Style button, and select the template you want to create.
  4. Click the Content tab, and click the header part of the template to see all the options.
  5. Under Display, click the Custom Field link.
  6. Put a check mark on the custom field and add a name.
  7. Click Done.

You can also import a template in DOCX format from Word. Before doing so, make sure to turn on the import option in QuickBooks Labs.


Here's how:

  1. Click the Gear icon located in the upper right corner.
  2. Under Your Company, click QuickBooks Labs.
  3. Turn on Import Style.
  4. Click Done.

Then, follow the steps in this article: Import custom form styles for invoices or estimates.


Finally, to view all the lists, we can run the Transaction List by Customer and customize the columns to add the custom fields.


Here's how:

  1. On the left panel, click Reports.
  2. Type Transaction List by Customer in the search box.
  3. Select the Report period, and click the Customize button.
  4. Click Rows/Columns to expand, and then click Change columns.
  5. Put a check mark on the custom fields you want to add.
  6. Click Run Report.
